The Operations Director supports all areas of MNCASA, through a range of organizational strategic functions including oversight of internal operations and contracts, while advancing policies and procedures that improve organizational operations.

BENEFITS:

This position is located in an office building with strategic flexibility to work hybrid or remote. The Operations Director can expect to work on site at the office 2-3 days per week. The building is accessible and smoke free. This position works during normal business hours and may include occasional evening and/or weekend hours.

$77,500 -$83,500 annual salary

JOB RESPONSIBILITIES:

Administrative and Operational Management

Represent the organization at community meetings and on committees.

Manage overall IT services for the organization in coordination with IT contractor.

Manage daily office functions including mail, deliveries, equipment, and supplies.

Manage organizational contracts for professional services that serve the organization.

Coordinate services with human resources and employee benefits programs.

Manage business insurance renewals in coordination with insurance broker.

Financial Management

Work in partnership with Executive Director and Program Directors in managing organization finances and nonprofit administration to ensure good governance and financial accountability.

Assist with grant applications, the development of grant budgets, and preparation of documents.

Create monthly allocation plans of staff time and salary across the organization.

Work in partnership with the Executive Director to develop, refine, and implement budgets as well as monitor for adherence. This includes the preparation of the draft annual budget for board approval.

Authorizes purchases/expenditures up to $5,000.

Assist in invoicing, gathering financial documents, and communicating with finance contractors.

Develop strategies to ensure maximum efficiency in the utilization of human and financial resources.

Prepare documents and information for annual financial audit and single audit.

Organizational Leadership

Work closely with the leadership team to develop and meet the organization's strategic initiatives and goals.

Manage facility operations and create, review, and implement policies and procedures for tracking progress.

Collaborate with Executive Director on strategic planning and implementation - including developing and monitoring completion of organizational goals and objectives.

Work in partnership with the Executive Director, Program Directors, and HR consultants to develop, refine, and implement hiring, benefits, and internal procedures and practices.

Promote organizational operation efficiency aligned with strategic directions and goals.

Supervisory Responsibilities (this position currently supervises 1 FTE)

Manages employee and team performance; ensures adequate training for employees; communicates job expectations and coach employees; supports employee professional development aspirations; investigates complaints and performance concerns; implements disciplinary action as needed and in consultation with MACC Human Resource Services.

Manages the hiring process for positions within this team; develops and updates job descriptions; develops performance expectations; assigns work schedules and ensures compliance with organization processes for interview and selection of employees.

Manages and ensures effective employee relations; creates an ethical, inclusive, non-discriminatory, and safe work environment; establishes effective communication lines/methods; identifies and solves employee problems; manages conflict, responds to, and resolves grievances.

Accepts resignations; initiates terminations and executes layoff actions following established protocols.

Reviews and approves leave and overtime requests; reviews and approves timecards in a timely manner, ensuring all information submitted is accurate to the best of the incumbent's knowledge.

Ensures all personnel changes for this team are entered into the Human Resources Management System in a timely fashion to ensure compliance and accuracy.

QUALIFICATIONS:

Education and Experience:

Bachelor's degree in a related field, previous project coordination experience, and/or previous experience in a related field a plus

Minimum of five years of experience in project management and administrative work or comparable skills and experience, preferably in the non-profit sector

Experience managing federal and state contracts, including extensive knowledge of grant compliance, reporting requirements, and experience in developing budgets and projections

Experience with financial management, including creating, analyzing, interpreting, and projecting budgets for grants, projects, and the overall organization

Knowledge, Skills, and Abilities:

A passion for and demonstrated commitment to MNCASA's mission and programming; including dedication to social justice and Equity Diversity and Inclusion efforts

Strong organizational management skills, ability to self-direct and take initiative, demonstrated ability to effectively multi-task and manage projects with varying deadlines

Strong financial management skills, ability to analyze financial documents and provide recommendations for fiscal responsibility and financial management

Strong leadership skills, ability to carry out strategic initiatives, communicate effectively, and support staff in achieving organizational goals

Ability to engage in collaborative problem solving and conflict resolution, in addition to providing and receiving critical feedback to improve processes and programming

Ability to work collaboratively with a diverse range of staff, community partners, and external stakeholders

Excellent written and verbal communications skills, attention to details, and planning skills

Strong working knowledge of Microsoft Word, Excel, and Outlook Licenses and/or Certifications

Valid MN Drivers' License, access to reliable transportation, and the ability to meet MNCASA's driving record requirements.

ORGANIZATION SUMMARY: The Minnesota Coalition Against Sexual Assault (MNCASA) provides leadership and resources for sexual assault programs and allies to prevent sexual violence while promoting a comprehensive, socially just response for all victims/survivors. We support, convene, and collaborate with sexual assault programs, advocates, prosecutors, and law enforcement officers to promote a more victim-centered response to sexual violence, and increase effective criminal justice. Our prevention programs take action before someone is harmed, and we work with policy makers and elected officials for laws and programs that fight sexual violence. MNCASA provides:

Victim and Survivor Support by helping partner programs and medical personnel, law enforcement, and legal and social service providers deliver state of the art victim advocacy and support;

Prevention Support by developing the capacity of partner programs and others to design and implement effective community-level primary prevention strategies;

Policy Reforms through public policy education and advocacy; and

Systems Change by developing capacity in medical, criminal justice, social service, and judicial systems to incorporate a coordinated and victim-centered approach into their responses.
