Position Summary:
The Facilities Lead oversees the day-to-day work of the Facilities department, assumes a leadership role in achieving department goals and provides feedback and coaching to the Facilities staff. The Facilities Lead works and communicates across departments and locations to coordinate facilities projects. The Facilities Lead makes service recommendations to the Facilities Operations Manager (FOM) and works independently and with Facilities staff to proactively develop resolutions to ongoing repair and enhancement projects. The Facilities Lead has broad decision-making authority to solve problems and handle staff and management requests. The Facilities Lead is responsible for spending and resource allocation decisions within parameters established by the FOM. They are expected to take initiative, be self-directed, demonstrate independent decision-making when necessary, participate actively in discussions, and function with minimal supervision. The Facilities Lead reports to the FOM.
Essential Functions:
Oversees the response and handling of staff and management maintenance and repair requests in online ticketing system.
Evaluates and prioritizes maintenance and repair requests and develops and coordinates the day-to-day work assignments for the whole facilities team.
Regularly appraises FOM of the daily projects and activities of the department, and makes updates as needed to the facilities maintenance online ticketing system.
Is responsible for safe and productive operation of the cabinetry and facilities shop; directs design of and implements improvements to existing casework and cabinetry; directs design and building of new cabinetry and casework as needed.
Takes a leadership role in assessing a wide variety of facilities problems and determining the best solutions, taking into account cost, timelines, and sustainability.
Assures timely and useful communication with outside vendors and inside customers regarding what, when and how work is to be done.
Assists FOM in monitoring productivity, quality of work, and customer service of facilities staff, and regularly updates the FOM on staff performance.
Provides coaching and feedback to facilities staff during projects and assignments.
Serves as a trainer and proactively provides mentoring to team.
Takes a leadership role in evaluating projects and determining whether outside resources will be needed. Requests and evaluates proposals of independent contractors and vendors and makes recommendations to FOM. Coordinates and evaluates work and finished products of independent contractors and ensures on-site repairs and services are performed safely and with as little impact as possible on the shopping and work environment.
With the FOM, serves as company liaison with one or more on-going service providers including, but not limited to, janitorial, pest control and HVAC.
Balances daily facilities repair and maintenance needs with ongoing preventative maintenance and construction and remodeling tasks.
Oversees, schedules, and monitors tasks on the preventative maintenance schedule.
Coordinates with Powell’s Supplies Coordinator on proposals and vendor contacts.
During specific, scheduled periods outside of normal work hours shall be available on-call at the direction of the FOM for physical plant emergencies needing phone or on-site response (Powell’s Books supplies cell phone).
Responsible for the safe use and appropriate storage of Powell's tools, equipment and vehicles.
Drives company vehicles as necessary in a safe and legal manner.
Fosters a professional, team-oriented work environment; demonstrates effective communications skills.

Requirements / Qualifications:
Facilities Specialist or equivalent experience.
Leadership skills to lead, train and mentor.
Leadership skills necessary to work across departments and bring projects to completion on time.
Superior initiative, follow-through, and accountability.
Project management experience is required.
Has mastery and understanding of building operations.
Ability to work and lead in a rapidly changing environment.
Must possess strong analytical, organizational and problem-solving skills.
Ability to enlist and inspire others.
Must exhibit excellent time management skills.
Specialized knowledge in one or more trades, such as carpentry, electrical, HVAC etc. desirable.
Experience working with trade and service vendors.
Computer skills required.
Current OR or WA driver’s license required.
Must have and maintain a driving record that is compatible with company standards.
Experience in retail operations desirable.
