Project Coordinator
This administrative position is designated to support distributed generation energy rebate applications. The position will specifically support the administration of our client's Rebate program.
Job Summary
Our client is seeking mid-level administrative support from an individual with strong interpersonal and organizational skills to work in the Oak Brook office to assist with the implementation of utility-based distributed generation rebate program.
Program Support & Coordination
Create complex reports, validate and/or compile data
Create materials (i.e. Desktop Work Instructions, customer emails etc.) necessary for program administration or services rendered
Track and/or enter information using multiple databases or financial systems as determined appropriate
Act as a liaison with other departments to ensure consistency is maintained and deadlines are being met
Monitor contract compliance goals
Import and verify data from applications and technical documents
Apply an understanding of key application-specific analytical tools including but not limited to data filtering, sorting, and pivot tables
Follow up with project/application contacts on a regular basis to verify information submitted and missing items in a timely manner
Use critical thinking skills to interact and follow up with customers
Field and log calls from customers, contractors, and other program participants
Process and submit weekly rebate reports, payments, and ensure delivery of rebate check
Proactively seek to identify real customer needs and manages customer expectations accordingly
Project a positive, collaborative, and team-oriented attitude
Work well under pressure in time-critical situations and be productive and self-motivated during slow periods
Prioritize and work both independently and as part of a team
Demonstrate strong organizational skills
Review processes to ensure standards will be met with the programs or services offered
Proactively provide input for processes improvements
Implement new and enhanced processes as directed and self-directed
Show ownership of workstreams
Possibly manage a team in the future
Other tasks as identified
Qualifications
At least five years’ experience in administrative services, program coordination, and/or customer service.
A four-year degree is preferred
Previous experience with energy efficiency or rebate programs, and renewable energy a plus
Excellent communication (both verbal and written), customer service /phone, organization, and grammar skills are essential.
Intermediate+ level in MS Word, Excel, PowerBI, PowerPoint and MS Access
