Our client, a global bank, is seeking a Temporary Executive Admin to support executive level individuals at the NYC office. This is a hybrid role with 3 days in office required. Hourly pay is up to $24/hr DOE.
Responsibilities:
Performs secretarial and administrative assignments of a confidential nature including, but not limited to, calendar management; scheduling meetings; booking meeting rooms; coordinating travel arrangements including booking travel tickets and settlement of related expenses.
Conducts administrative and office related project functions for the Cash Equities team.
Engage in roadshow planning / logistics for the Cash Equities team.
Accurately process expenses and actively participate in the go-live on the concur expense management system.
Act as the first line of defense by identifying and escalating any expenses not in line with policies promptly.
Improve efficiency in bankers' travel arrangements, with goal of overall reduction in travel-related costs including airfare, hotel, and car bookings.
Serve as a company ambassador in Client interactions.
Optimize internal meeting logistics, including catering and room bookings, guest reservations.
Ensure compliance with info barriers policy when working with MNPI, including visibility to banker calendars and sitting with banking teams, and with requests for guest access to restricted space.
Participates in broader CIB Executive Assistant Rotations including reception desk staffing.
Performs other administrative / clerical duties, as assigned.
Qualifications:
5+ years of experience
Strong organizational skills
Exceptional time management skills
Experience working with expense reports (completing, entering, & uploading)
Knowledge of SAP/Concur Strong communication skills and multi-tasking capabilities are essential
Must have high level of interpersonal skills to handle sensitive and confidential situations
Positive attitude and a "no task too big or too small mentality"
Friendly and outgoing professional willing to take constructive feedback
Experience with Microsoft Outlook (email & calendar)
Experience with Concur Expense Report System (preparing/submitting expense reports)
Works well within a team environment
"Go getter" mentality with a willingness to get the job done
