As an Administrative Assistant, you will provide administrative, creative, and personal support to the branch manager as well as other leadership staff. This individual will ensure the offices operate smoothly and efficiently. *This position is located in the DFW West area
Responsibilities & Duties:
Manage executive schedules and calendars
Responsible for collecting and coding invoices ensuring payment is received on time
Answering telephone calls and emails from customers and clients directing them to relevant staff
Setting up appointments, conferences and managing meeting rooms
Coordinate travel arrangements for corporate team, as needed
Point person for special order items and office supplies
Maintaining various logs and reports for submission (expense reports, 1099's, title production, etc.)
Organizing and participation of work-related functions, managing charity, and team member celebrations
Responsible for preparation of event presentations and materials needed
Coordinate job postings, scheduling of interviews, onboarding of new hires, and employee transfers
Assisting with timecard approvals and PTO request
Managing and updating of CLM's social media accounts, website, and blog
Creating and preparation of any marketing materials needed
Maintaining various logs and reports for regular
Oversee adherence to office policies and procedures
Assist in other tasks/duties as needed
Qualifications
Job Knowledge, Skills & Experience:
Proficient with standard software such as Windows, Word, Excel, and Outlook
Effective interpersonal, verbal, and written communication skills
Maintain proper and professional etiquette and appearance
Exemplary customer service skills
Attention to detail to ensure tasks are completed thoroughly and correctly in fast-paced high work volume
Knowledge of office management responsibilities, systems, and producers
Strong interpersonal skills to interact positively with all employees
Flexibility to help assist with new tasks and office change
Capacity to prioritize and delegate tasks
Excellent time management skills and ability to multi- task and prioritize work
Must have a valid driver's license and successfully pass a background check
