Project Administrator (New York and New Jersey)

Elmwood Park, NJ, United States

We are seeking an energetic, proactive Project Administrator. The ideal candidate must be able to work in a fast-paced environment, manage being involved in multiple concurrent initiatives, and enjoys working with different personality styles and management levels. The project administrator will primarily deal with Submittal/documents coordination - logging/tracking submittals/RFIs/other project documents into the project document control system as well as distributing to the appropriate discipline leads, then uploading responses. The project administrator is also responsible for coordinating with the project team members daily to ensuring project deliverables are met. It will also offer the candidate opportunities to get involved with project scheduling, estimating, change orders, and field oversight of exciting heavy civil construction (if interested).

The Project Administrator shall be responsible for, but not limited to, the following:

Setup and maintain job files in accordance with company work instructions and applicable project instructions with limited direction.

Coordinate Project Submittals/RFIs among Design team.

Track progress of Submittal reviews and develop/maintain a Submittal Log.

Provide quality check and quality assurance (QA/QC) to submittals/other deliverables for accuracy prior to processing in the project electronic filing systems.

Attend Project Meetings and engage with client/client's representatives regarding design issues and outstanding Submittals.

Coordinate with PM/assistant PM to prepare for monthly progress reports.

Ability to interpret and understand Contract Drawings/Specifications/Project scope of work.

Other duties as required.

Basic Qualifications Minimum two (2) years administrative experience, preferably supporting a large team.

Proficient with Microsoft Excel/Word/Blue Beam/Adobe. Proficient with construction project management software (e-Builders, Kahua, Asite, etc.) preferred.

High level of confidentiality.

Good oral and written communications skills.

Ability to multi-task.

Ability to work to tight deadlines.

Excellent follow up skills.

Proven positive and professional attitude.

Additional Qualifications Bachelor's degree in business, or related field preferred.

Engineering related experience a plus.
