Human Resources & Payroll Manager

We are seeking a dynamic and experienced People Operations / Human Resource professional to manage our people operations function: payroll, benefits, HRIS and data, compliance, and program governance. You will also contribute to school’s goals in aspects of talent management, operational efficiency, process design, organizational development, and employee engagement. This position works closely with other members of the PKS Business Office and Division Heads and reports to the Chief Finance and Operations Officer (CFOO).
Schedule and Hours This is a 0.8 FTE, exempt position. Flexible schedule can be discussed, and there is potential for this to grow to 40 hours per week in the next 6-12 months.
Essential Job Functions:
HR / People Operations Lead and drive the School’s hiring processes; maintain job descriptions and coordinate job postings on various platforms, initiate approaches that engage and recruit talent.
Manage the employee lifecycle, offer letter through separation; maintain personnel records in accordance with federal and state requirements and best practices
In coordination with the Director of Finance manage and oversee benefit programs (Health, Dental, Flexible Spending Accounts, Section 125, 403(b) Retirement Plan, STD, LTD, Life/AD&D and COBRA) for employees, including all employee communications, problem solving and claims resolution
Coordinate annual open enrollment for Health, Dental and Flexible Spending Account Plans
Ensure compliance with federal and state statutes/laws
Stay abreast of policy developments, national, state and local labor law, and best practices in independent schools; recommend new and updated people operations processes to create efficiencies.
Maintain and update Employee Handbook on an annual basis in collaboration with legal counsel
Manage visa processes for employees who are not US citizens and need visa sponsorship
Conduct new hire orientations
Work directly with Division Heads and Supervisors support them and their teams to achieve their goals, and identify professional development opportunities.
Promote and support a people oriented, performance-driven culture
Payroll Manage timecard submission and time off reporting
Process and submit semi-monthly payroll using ADP Workforce Now and prepare semi-monthly 403(b) employee and employer contributions report for submission of funds to Plan custodian
Manage injury and illness reporting to workers’ comp carrier, including OSHA 300 logs
Manage leave process for employees (PDL, FMLA, CFRA, SDI, PFL)
Support annual Workers’ Compensation and 403(b) audits
Maintain and manage personnel files and retention
Additional Responsibilities Attend staff meetings and certain School events
Fulfil student supervisory duties as needed
Assist with other functions of the Business Office and annual audits as needed
Additional projects or tasks as assigned by the Head of School, CFOO, or Director of Finance
Desired Experience, Qualifications, and Skills Bachelor’s Degree; HRCI, PHRca, or SHRM certified preferred
Familiarity with California employment and labor laws
Minimum five years people analytics, compensation / payroll, and HRIS management preferably in a non-profit or education setting
Knowledge of HRIS, and an understanding of how they integrate with programs and projects
Proficient in ADP WorkforceNow
Excellent interpersonal and communication skills, both oral and written
Excellent attention to detail
Discretion, sensitivity, and confidentiality, demonstrated ability to listen, analyze and inform team members appropriately.
Strong collaboration and teamwork skills, while also able to work independently
Ability to adjust priorities and meet deadlines
Fluency in Chinese (Mandarin) strongly preferred.

Salary range is $85,000 - $115,000 dependent on education and experience.
