Overview & Responsibilities

NATURE OF THE JOB:

Position requires a competent individual with a wide range of administrative skills. This individual would be expected to handle varying processes of increased complexity for the New Orleans and Baton Rouge locations. The administrative assistant should utilize time effectively, be trustworthy and confident enough to work independently with minimal supervision.

SPECIFIC JOB RESPONSIBILITIES / COMPETENCIES:

Answering phones, the front door, greeting and directing customers.

Enter timecards and payroll for Baton Rouge and New Orleans locations.

Scan job files and upload to Windchill for repair report completion.

Process receiving for the Baton Rouge location.

Assist project managers to open jobs, perform credit checks and close jobs.

Assist project manager with closing jobs and completing accounting checklists.

Assist the Service Center Manger with reports, scanning and/or filing as needed.

BACKGROUND / EXPERIENCE: High school diploma with a minimum of 3-5 years administrative and secretarial experience required.

Previous office experience would be beneficial as position involves being comfortable in a fast-paced work environment requiring good organizational and communication skills.

Ability to prioritize duties, work independently, and attention to detail.

Have good listening and comprehension skills.

Computer skills are a must with emphasis on the use of Microsoft Word, Excel, PowerPoint and Lotus Notes.

Ability to learn and/or perform tasks in Oracle, Vantage, and other operating systems as needed.

Basic knowledge of Ebara Elliott Energy equipment if preferred but not required.

Administrative Assistant should have the ability to deal with others in a mature, professional manner, make decisions on a daily basis and must be resourceful.
