Job Title: Accounts Payable Clerk
Department: Accounting
Reports To: Accounts Payable Manager
Job Summary: The Accounts Payable Clerk is responsible for providing financial, administrative, and clerical support to the organization. This role is crucial in ensuring that all vendor invoices are processed and paid accurately and on time, and that records are maintained correctly.
Key Responsibilities:
Invoice Processing: Review and verify invoices and payment requests.
Code, match, and batch invoices for entry.
Enter invoices into the accounting system.
2. Payment Processing:
Prepare checks, wire transfers, and ACH payments.
Process and track employee expense reports.
Verify proper coding and approvals of employee expense reports.
Ensure timely and accurate payment of invoices.
3. Vendor Relations:
Communicate with vendors regarding billing issues and discrepancies.
Maintain and update vendor files.
Monitor accounts to ensure payments are up to date.
Address vendor inquiries and resolve issues promptly.
4. Reconciliation:
Reconcile vendor statements and correct discrepancies.
Assist in month-end closing processes.
Maintain accurate and up-to-date financial records.
5. General Administrative Duties:
File and maintain accounts payable documentation.
Provide supporting documentation for audits.
Perform other clerical duties as needed.
Qualifications:
Education: Associate’s degree in Accounting, Finance, or related field; Bachelor’s degree preferred
Experience: Proven experience as an Accounts Payable Clerk or in a similar role.
Familiarity with basic accounting procedures.
Skills: Proficiency in MS Office, particularly Excel.
Experience with accounting software (e.g., Sage Intacct, QuickBooks, SAP).
Strong attention to detail and accuracy.
Good organizational and time management skills.
Effective communication skills.
Preferred Qualifications: Experience with Sage Intacct and/or Tipalti.
Basic knowledge of general accounting principles.
Working Conditions:
Office environment.
May require occasional overtime, especially during month-end closing.
