Description of Job

A summary of the duties and responsibilities will include, but are not limited to, the following:

This position is a direct victim services position which serves as an initial point of contact for all program correspondence. It responds to incoming program calls, messages, and emails and provides general program information. It also analyzes, creates, and manages a program list of community resources and referrals, providing them to program participants when services are needed.

Essential Duties & Responsibilities: Point of contact for ACP/Manage Email Correspondence - As the initial point of contact for the ACP, this position will respond to over 300 calls and messages each month and will analyze each to determine the appropriate response and when to escalate to the Program Administrator or Director.

Provide Community Resources, Referrals and Communication - This position will create and manage a list of common questions, service needs and corresponding community resources, updating and sharing with other staff members to be used when responding to participant calls.

Mail - This position will assist with providing all aspects of participant mail sorting and forwarding services as required by program laws, and as directed through program policy and procedures.

MINIMUM QUALIFICATIONS:

Experience Only:

At least three (3) years of relevant experience in responding to incoming program calls, messages, and emails and providing general program information and analyzing resources.

OR

Education and Experience:

A combination of related education and/or relevant experience in responding to incoming program calls, messages, and emails and providing general program information and analyzing resources equal to at least three (3) years

The exceptional candidate will possess the proven ability or accomplishment in the following preferred qualifications: Previous State Service related to the work assigned to the position

Previous experience which required the handling of confidential information

Excellent written and verbal communication skills

Ability to operate standard office equipment including pertinent software applications; such as Salesforce, and preparing and maintaining accurate records

A high level of competence in MS Office, particularly Word, Excel, Google Drive/Docs/Email

Excellent time-management skills

Strong organizational skills and attention to detail

Flexibility to perform a wide variety of tasks, in a wide variety of circumstances and with a diversity of individuals and/or groups

Ability to work independently; self-directed

Experience and/or interest in working at an agency or organization that services victims of domestic violence, stalking, and/or sexual assault

Comparative Analysis Process The comparative analysis process for this position may consist of a structured application review, and a structured interview.

Appeal Rights:

An applicant who has been removed from an employment list or removed from consideration during the selection process may request a review by the State Personnel Director.

As an applicant directly affected by the results of the selection or comparative analysis process, you may file a written appeal with the State Personnel Director.

Review of the completed, signed and submitted appeal will be timely on the basis of written material submitted by you, using the official appeal form signed by you or your representative. This form must be completed and delivered to the State Personnel Board by email at [email protected] within ten (10) calendar days from your receipt of notice or acknowledgement of the Department's action.
