Job Description:

Supervisor : Vice President for Enrollment Management

Position Code : EMMC

Status : Full Time

Standard Hours : 8:30 am - 5:00 pm (some evenings and weekends as needed), 12-months

JOB SUMMARY :

Reporting to the Vice President for Enrollment Management, the Enrollment Management and Marketing Coordinator supports the general needs of all enrollment divisions including Traditional, Graduate, and The American Women's College, and works in close collaboration with key marketing staff while serving as a liaison between the two integral departments. This position is responsible for assisting with department budget oversight, processing purchase orders, overseeing multiple social channels and platforms, travel coordination, and scheduling meetings. In addition, works collaboratively as directed with the marketing project manager to bring creative projects to fruition to support admission events and other enrollment initiatives then examines and reports on performance for future activity.

ESSENTIAL JOB FUNCTIONS:

Coordinates trainings/meetings for admissions/marketing staff.

Provides direct administrative support for the Vice President, including, but not limited to, communications and scheduling.

Assists with travel planning/rental car leases for traditional admissions by analyzing data and trends, collecting invitations, and distributing information to each counselor by territory.

Communicates with High Schools in our primary territories about upcoming BPU events they can advertise to their students (Open Houses/Virtual Events).

Oversees communication, posts, timelines, announcements, and analytics of multiple social channels and platform such as: CampusESP, ZeeMee, Instagram, including coordinating with marketing for the appropriate files, creative and brand assets, etc.

Work with institutional marketing to develop social media strategies and plans for admissions social media channels for maximum effectiveness and institutional alignment. Assist with the institutional social media efforts as needed.

Creates and analyzes reports and data to support enrollment decisions and strategic planning.

Manages and updates Admissions and Marketing Memberships. Flag and coordinate opportunities to maximize the memberships.

Maintains the appropriate paperwork and budgets as it pertains to University Policy.

Interacts and collaborates with outside vendors and consultants.

Manages the budget and PO processes, including department budget transactions, monitoring expenses and troubleshooting missing information for both enrollment marketing and management.

Answers incoming phone calls, screen calls and refers to the appropriate department or person.

Serves as a liaison with other departments and external contacts to provide or gather information to determine appropriate course of action for routine and moderately complex matters within Enrollment Management and Marketing.

Assists in the hiring process including: managing resumes, creating on campus or Zoom interview agendas, preparing interview forms and hiring packets, booking hotel and transportation when necessary, preparing logistics for on-site visits.

Processes paperwork for internal staff including, but not limited to, travel expenses and reimbursements.

Manages WEX account for VP of Enrollment Management and submits and records receipts in a timely manner and attaches appropriate budget line to expenses.

Assists with special projects as needed, such as WLC marketing and support efforts.

Performs other responsibilities related to this position as assigned.

Requirements:

QUALIFICATIONS:

1 to 2 years of marketing, admissions/enrollment, business administration, or other related experience

Data entry experience and knowledge of database systems.

Excellent computer skills, thorough knowledge of Windows, Word, Excel, Publisher and PowerPoint.

Ability to organize many projects and handle detail with accuracy.

Excellent customer service and telephone skills.

Ability to work well with a wide variety of constituencies.

Ability to handle multiple assignments with diplomacy, efficiency and effectiveness.

Excellent oral, written and interpersonal communication skills.

Ability to work independently and cooperatively in a diverse, busy office environment.

Must project a positive, professional image.

Demonstrated time management and organizational skills.

Ability to handle multiple tasks simultaneously.

Ability to adhere to University policies and procedures.

Ability to handle confidential information with discretion and within FERPA and HIPAA guidelines.
