Overview
The Department of Medical Oncology seeks a Program Administrator for the Divisions of Molecular and Cellular Oncology and Solid Tumor Oncology. The Program Administrator works directly with the Department Administrator and Research Administrators of these divisions to assist in operational support.
This is an ideal opportunity for an enthusiastic individual who is interested in providing operational and programmatic support to a productive and growing research/clinical center. Under the direction of the Department Administrator, the Program Administrator will have comprehensive administrative responsibility for the Divisions. This position will also assist in office management tasks such as developing tracking systems, managing conference rooms, updating email distribution lists, and helping to maintain the Business Office website.
Responsibilities
In conjunction with the Department Administrator and Research Administrator Managers, help draft operational policies and procedures for the Divisions. Identify and resolve operational issues within the Divisions and ensure compliance with institute polices and guidelines
Manage the HR on-boarding process for staff in the Divisions, including posting positions and working with HR on scheduling occupational health appointments
Liaison with Immigration office to help process necessary visas for the Divisions
Manage the Visiting Scientist approval process
In conjunction with the Medical Oncology Faculty Services, coordinated HMS appointments
Manage and approve time for research staff in UKG
May be required to create PO's and manage invoices
Responsible for annual the annual NSF-NIH Survey of Graduate Students and Postdoctorates in Science and Engineering (GSS)
Administrative responsibilities also may include: complex calendar management for a group of faculty members (internal and external meetings/events); coordination of seminars and programs; document preparation, including CVs and correspondence; interfacing with faculty, scientists, patients and collaborators; creation, formatting and maintenance of Word documents, Excel spreadsheets, and PowerPoint presentations; ordering project supplies using the PeopleSoft system; making travel arrangements, including processing expense reports; triaging phone calls and responding appropriately to all inquiries
Culture manager, responsible for organizing team building activities and events
Maintains org charts, phone directory, space assignments
Work with Manager's and RA's to update training manuals
New vendor set-up requests
Other duties as required
Qualifications
Bachelor's degree required. Masters Degree in business, healthcare administration, public health or related fields preferred.
2-4 years of relevant experience
Knowledge of clinical administration and operations
Ability to work effectively as team member and promote cooperation among staff members
Ability to communicate effectively in person and in writing
Experience working in a medical or scientific research setting or comparable technology-oriented business environment is preferred.
Excellent English language reading, writing, and speaking skills required .
Excellent organizational, decision making, conflict resolution and interpersonal skills.
Strong negotiation skills
Ability to synthesize information from multiple sources to create comprehensive reports
Good judgment and the ability to work independently and under pressure
Excellent written and verbal communication skills and the ability to work on multiple assignments at one time.
Ability to exercise critical thinking, problem-solving and conflict resolution. Ability to learn and absorb information quickly, to anticipate needs, and to develop and implement long-range plans as well as solve problems within existing guidelines.
Superior leadership, communication, and customer-service skills and willingness to embrace both simple and complicated tasks
Self-motivated, attentive to detail and flexible
Ability to meet various deadlines and to effectively work with diverse groups of people in an environment of frequently changing priorities and deadlines
