Minimum Education: High School diploma or high school equivalency diploma.
Work Experience: Two years of experience in administrative support, including the use of office software (e.g., email, word processing), provision of customer service, and business writing.
Job Duties: Collaborate with Nursing and other department staff to ensure timely coordination and completion of Nursing office and facility functions.
Maintain time and attendance systems and records for Nursing and facility staff.
Maintain and file documentation in the clinical record.
Answer telephone, provide information to callers, take messages, and transfer calls to appropriate individuals.
Open, read, route, and distribute incoming mail or other materials.
Track and coordinate assignments.
Use various information technology applications, both internal (e.g., email, time and attendance system, databases, spreadsheets, word processing) and external (e.g., survey monkey, various website applications).
Operate office equipment such as printers, scanners, and copiers; arrange for repairs when equipment malfunctions.
Schedule and confirm appointments for clients, customers, or supervisors.
Maintain scheduling and event calendars.
Coordinate conferences, meetings, or special events, such as luncheons or graduation ceremonies.
Make travel arrangements for staff and create/submits travel expense reports.
Compose, type, and distribute meeting notes, correspondence, and reports.
Search for information using various sources, including the internet.
Order and distribute supplies.
Create conference or event materials such as flyers or invitations.
Preferred Skills: Proficiency in using various information technology applications, both internal and external.
Operation of office equipment, including printers, scanners, and copiers.
Coordination of conferences, meetings, and special events.
Strong business writing and communication skills.
Ability to multitask and prioritize assignments efficiently.
Proficient in Microsoft Office Suite (Word, Excel, Outlook).

SCPC will provide orientation, including a general facility orientation, fire safety, infection prevention/control, and training in the requirements of the privacy and security provisions of HIP nd the New York State Mental Hygiene Law.

Interviews will be conducted with the department head and possibly one other.
