EXECUTIVE ASSISTANT

Job Summary:
Reports to the Director of Human Recources and provides administrative support to the Executive Team. Daily scope is concentrated on Finance, Operations, and Human Resources support responsibilities. Partners with EA to the CEO to best meet the needs of the organization.
Essential Job Functions:
Responsible for the scheduling meetings, coordinating schedules, setting up audio/visual equipment for meetings, coordinating food & beverage, preparing materials for meetings.
Provides administrative support with projects, ad hoc assignments, record filing, record maintenance.
Answering and screening phone calls to executive office, redirecting callers, and transferring calls appropriately.
Serve as a Project Team Lead when assigned an administrative project, taking the responsibility for successful completion of project.
Launch project to update and implement electronic Standard Operating Procedures manual.
Prepares correspondence via email, mail, and/or memo.
Manage incoming invoices for reconciliation, approval, and payment. Prepares monthly sales commission payments to payroll.
Manages and maintains requests for company-issued tech equipment such as laptops, iPads, cell phones, etc.
Supports new employee onboarding with scheduling orientation, collecting policy receipts, liaison for employee IT-related needs, and training compliance reports.
Manage and maintain PCC software by adding/removing Users from the system and using the system to record credentialing process.
Coordinates Compliance Committee meetings, audit schedules, audit reports, and manage pending follow-ups.
Maintains files and submits renewals on facility's State operating licenses for each business entity.
Notarizes appropriate documents for employees and residents.
Partners with Executive Assistant to ensure the corporate office space is organized, runs smoothly, and meets standards of excellence.

Qualifications:
Education: Some college
Training and Experience: Minimum of two years customer service or executive assistant experience required. Experience in retirement or nursing home preferred.
Certifications/Licenses: Active Drivers License.
Job Knowledge: Must have good typing and computer skills, must have good communication skills; must be able to relate well to people and resolve conflicts and problems. Able to communicate with people from various backgrounds and levels in the organization.

Working Conditions: Works in a clean, well-lighted, ventilated building. Travel is required between community locations to include but not limited to travel to conferences, events, and meetings.
Physical Demands: Standing, sitting, walking, lifting to 15 lbs., handling, fingering, pushing, pulling, carrying, reaching overhead, reaching forward, reaching low, stooping, kneeling, climbing, crouching, twisting motion, and balancing. Corrected vision to 20/20 and hearing to normal range.
Special Demands: Must have discretion in judgment, tact and courtesy in dealing with residents, employees and general public. Must have gift of discernment to better understand needs and expectations of residents, family members, and employees. Must understand role and demonstrate to the Executive Team.
