SUMMARY
We are seeking a reliable, qualified individual to join NASSCO as a Document Control Specialist. As part of our team, you will oversee the organization, storage, release, and archiving of engineering records and documentation, observing legal guidelines and best practices. This individual will administer the data management processes, verify document completeness, and format requirements. This position is critical to successful operations and an ideal candidate has considerable professional experience with impeccable attention to detail, as well as strong computer and data entry skills.
ESSENTIAL FUNCTIONS AND DUTIES
Prepares documentation for approval and distribution to internal and external customers without supervision
Responsible for document management of all products released, engineering deliverables, and internal products without supervision
Performs regular quality checks on documents, folders and content server to ensure accuracy and adherence to established standards without supervision
Ensures timely completion of all JIRA related document control tasks without supervision
Responsible for maintaining an organized and detailed library of project documentation without supervision
Stores, manages, and tracks records and documents without supervision
Provides timely administrative and analytical support related to engineering documentation without supervision
Verifies completeness and accuracy of stored documentation, as well as appropriate file formatting without supervision
Supports Supervision in efforts to resolve any issues internally, as well as with customers and regulatory bodies
Performs periodic archiving and audits to maintain document repository standards without supervision
Works with service provider to archive/retrieve documented information stored off-site without supervision
Contributes to development of department policies including documentation, storage, and organization policies
Follows document retention policies, retrieves documents upon request, and archives inactive records without supervision
Facilitates resolution of technical issues internally, as well as with customer and regulatory bodies without supervision
Understands the importance of document control to the enterprise
Demonstrate professionalism and broad technical competence
Observes and supports NASSCO health, safety, and environmental policies
Other responsibilities and duties as assigned
SKILLS AND QUALIFICATIONS
High school diploma or equivalent required. Associate degree or higher preferred. Four years of experience in document control field
Proficient in general computer and documentation skills, including Microsoft Office applications
Experience with JIRA, Confluence and Tableau preferred Strong communication skills, both verbal and written
High attention to detail Must be able to teach others the ability to interpret a variety of written, oral, or diagrammatic instructions
Disciplined ability to independently plan, prioritize, organize, and monitor project tasks with minimal oversight
Strong sense of internal motivation to transform and modernize broken processes with a start-up mentality
Ability to work effectively in a group and to actively cultivate a vibrant team environment with a positive attitude and attention to detail
Healthy dissatisfaction with the status quo, leading to committed participation in continuous improvement initiatives
Work is confined to a clean office environment but may require participation in dirty, industrial areas, requiring full adherence to NASSCOs safety policies
Works diligently with Project Engineering to ensure close coordination across the program without supervision
Will work directly with all project stakeholders, including customers and regulatory bodies without supervision
PHYSICAL DEMANDS
Work primarily conducted in an office setting with good lighting. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus. Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing. Must be physically able to commute to buildings throughout the shipyard. Occasional exposure to dust, fumes and moderate levels of noise.
ACCOUNTABILITY
Responsible for providing accurate and efficient administrative and data control as assigned. Results are related to the quality and timeliness of achieving project goals and ability to develop, implement, and/or adhere to processes that maximize productiveness and throughput.
PAY SCALE
Document Control Specialist I: $44,800 - $58,000
Document Control Specialist II: $49,800 - $66,000
Document Control Specialist III: $60,800 - $78,700
This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
