POSITION DESCRIPTION

Provide reception, phone coverage, information, and administrative functions to support Wise & Healthy Aging. Additionally, provide administrative support to Member Services and Adult Day Care Service Center. The coordinator handles general clerical and receptionist duties, including demonstrating strong interpersonal skills, flexibility in daily schedule, multi-tasking, and ability to prioritize workload.

PRIMARY RESPONSIBILITIES

Ensure the front desk is supervised from 8:30 am until 5:00 pm. during the organization's business hours.

Welcome visitors and clients, answer questions, and direct them to the appropriate staff.

Provide general program information to prospective clients and members interested in Wise & Healthy Aging programs.

Handle live and voicemail telephone inquiries and direct calls to the appropriate staff/program.

Assist with processing membership applications for Member Services programs and projects, including Club Wise, Wise Diner, and other special projects. This includes data entry (MySeniorCenter, Kintone), processing payments, tracking applications, and archiving membership information.

Schedule appointments, as needed, for Medi-Care Counseling, AARP Tax Services (seasonal), and Financial.

Counseling and any other onsite community partner that is co-located at Wise.

Collecting funds from walk-in clients for programs/services agency-wide, processing, and logging.

Assist in maintaining the database system by inputting all data and client information for tracking and invoicing for funding sources.

OTHER RESPONSIBILITIES

Due to changing program demands, funding source expectations, and agency policy changes, all staff may be expected to perform other duties as assigned.

POSITION QUALIFICATIONS

Education Requirements:

High School graduate or GED required (some college or degree preferred)

Experience Requirements:

A minimum of three years of experience in a similar position.

Proficient in Microsoft Office software programs, including Word, Excel, and PowerPoint.

Skills Requirements:

Ability to communicate effectively in writing and orally

Excellent organizational and interpersonal skills.

Detail-oriented and able to multi-task while meeting competing deadlines.

Ability to interface/relate well with the public and to all levels of staff and other professionals and volunteers

Able to interact appropriately with families and clients who have memory loss.

Typing speed of 35-40 wpm

Other Requirements:

Must obtain and maintain a First Aid and CPR card upon hire.

Fingerprints must be submitted upon hire and pass criminal clearance checks.

Must have a valid California driver's license (must show and maintain proof of valid car insurance throughout tenure at Wise & Healthy Aging).
