Job Summary

The Project Coordinator position focuses on the flawless logistical execution of Advantexe online and in-person training programs. In this position, you will be responsible for all logistical activities including scheduling, material development and printing, ensuring technical (online and in-person) connections are in place, and coordinating hotel and travel arrangements to effectively meet project goals, budgets, and timelines.

You will work directly under the direction of either a Senior Program Manager, Lead Business Analyst, or lead Instructor to ensure every attention to detail is taken care of to ensure successful delivery.

Compensation and title will be commensurate with experience. Targeted range is $50,000 - $60,000 annually.

Key Responsibilities:

Develop expertise of workflow and project management system (Monday.com)

Coordinate with project teams to ensure the availability of necessary resources and equipment.

Communicate schedules to project team members.

Send reminders and confirmations to project team members.

Coordinate and schedule project team meetings, client meetings, and Subject Matter Expert (SME) interviews.

• Compiling project documentation and deliverables for deliveries as needed.

• Collaborating with the Creative Services team to ensure all project deliverables meet Advantexe or client brand standards.

Attending and supporting live program deliveries as needed and attending and supporting virtual deliveries as a “producer.”

• Reporting on project hours and administrative tasks and providing weekly status reports

• Supporting the contracting and invoicing processes.

Required Skills & Experience:

1-2 years of experience managing multiphase training engagements or similar projects.

Bachelor’s degree (or higher) in Business or Learning and Development related field.

Highly motivated, resourceful, and adaptable. Must enjoy constantly learning and tackling new challenges.

Ability to navigate and take initiative in a fast-paced, evolving environment.

Ability to prioritize and deliver multiple projects simultaneously.

Demonstrated strong attention to detail and time management skills.

Positive, “can do” growth mindset attitude.

High level customer service, emphasizing responsiveness and problem-solving.

Excellent written and verbal communication skills.

Experience working with and communicating with clients at all levels.

Strong knowledge of the Microsoft Office Suite including Word, Excel and PowerPoint.

Working knowledge of Project Management programs, such as Monday.com

A fast learner in training and software platforms is a significant plus.

Additional Information:

This job is based in Conshohocken, PA and can be performed remotely. There is an expectation that you will come into the office at least one day a week (Wednesdays) and on days requested for learning and communication purposes.
