What this job involves

As a Sales Coordinator , you will be responsible for handling a wide range of administrative and design related tasks and will be able to work independently. This person must be especially well organized and flexible. The ability to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with an elevated level of professionalism and confidentiality is crucial to this role.

Additional responsibilities include:

Administrative support including electronic file management, email communications, travel booking with detailed expense reports, calendar management, FedEx/Messenger requests, coordinating guest/client visits to the office, and facilitating meetings/catering requests.

Transaction management using internal financial systems, including input and updating deals, commission calculations, preparing and tracking invoices for payment, and uploading required legal documents needed for transaction completion.

Update and maintain Work in Progress (WIP) for each broker monthly.

Participate in regular meetings and mandatory training as required.

Maintain broker’s online bios and headshots.

Serve as information resource by conducting client-focused research, assembling data and assisting with special projects.

Perform basic edits to externally focused deliverables for the team, ensuring best in class work with no errors or omissions.

Light/medium design work for templated one-off client deliverables.

Interested? An ideal candidate would need to have the following qualifications:

Required

Minimum 5 years of administrative support experience supporting executive level leaders.

Proficiency in MS (Microsoft) Office Suite (Word, Excel, PowerPoint, and Outlook).

Excellent computer and proofing skills.

Preferred

Experience with Adobe Creative Cloud (InDesign, Illustrator, Photoshop).

Problem solver and pro-active thinker.

Keen ability to connect the dots and anticipate the needs of the executive in advance.

Highly motivated; with a capacity to multi-task in a fast-paced environment.
