Office Manager

MAK Technologies is seeking an Office Manager to join our team. The job is 100% onsite, located in the Alewife/Fresh Pond area of Cambridge, MA. This role is an hourly, contract role with an expectation of working around 25 hours/week for three months. At the end of the three months, the person will be eligible for hire as a part-time, 25 hours/week (non-benefits eligible) permanent hourly Office Manager. Primary functions will be front desk reception, facilities management, and administrative support to the HR and Finance teams.
Essential Job Responsibilities: Front desk reception and visitor control
Facilities, including mail, entering approved facilities requests to building portal, maintaining/updating badge system, tidying shared spaces for appearance and keeping kitchens stocked, maintaining employee roster and org chart; planning and executing company events including regular lunches, large company parties and visitor meetings
Support to Accounting & HR functions, including reconciliation of monthly credit card statements, approving invoices, filing, data input, mailings, proofing receipts, coordinating interview process
Support to CEO and Head of Finance on special projects, including document management and distribution, requisitions, budget monitoring for office expenses, special projects, and other ad hoc duties
Education and Experience: Associate’s degree or High School Diploma plus at least two years of administrative work experience
Experience using Microsoft Office Suite, especially Outlook, Teams, Word, and Excel
Experience planning events and executing long and short-term projects
Must be a US Citizen with no employer sponsorship required
Must be over 18 years old
Knowledge, Skills, and Abilities: Availability to be in-office 25/hours per week
Reliable and consistent punctuality and daily attendance
Professional business appearance, demeanor, and communication abilities
Exceptional attention to detail and ability to maintain discretion with sensitive data
Comfortable with proactive outreach to employees at all levels and external vendors
Willingness to contribute to support of Accounting and HR functions
