Position Summary
The Event Sales Specialist is responsible for sales and operations within the Event Sales and Meeting Services department. This key role ensures the success of meetings and events at the Hotel, serving as the liaison between hotel sales, hotel operations, and the client while striving to maximize both service and profitability. In addition to administrative and management duties, the Event Sales Specialist is responsible for generating event revenue within assigned market(s) and managing the events they sell.
Position Responsibilities
• Administrative liaison between sales and internal hotel departments
• Responsible for distribution of Event Sales department work product to other hotel departments to include Banquet Event Orders, Group Resumes, Event Resumes, accounting folios, event schedules, and other work product as assigned
• Create Banquet Event Orders and resumes for assigned programs
• Manage all internal Hotel and Proper Corporate events on property in consultation with Director of Event Sales and Director of Sales and Marketing
• Generate event revenue within assigned market(s) and manage events sold
• Build and foster relationships with Hotel Food and Beverage division specific to events sold in shared outlet spaces
• Build and foster relationships with internal and external clients by creating and coordinating meetings and events
• Optimize room rental charges and event upsell opportunities
• Complete special projects as requested by the Director of Event Sales and Director of Sales and Marketing
• Ensure that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy
• Greet customer during the event phase and introduce to the Event Operations team for the execution of details
• Ensure billing accuracy and conduct bill reviews with the clients prior to processing the final bill
• Manage group room blocks and meeting space for groups and events as assigned
• Identify operational challenges associated with his/her group and determine how to best work with the property staff and customer to solve these challenges and/or develop alternative solutions
• Participate in customer site inspections and assist with the sales process as assigned
• Facilitate Banquet Event Order and Resume Meetings
