Job Summary
UCSF Weill Institute for Neurosciences is seeking a motivated and organized Academic Program Manager to join its experienced and collegial administrative team comprised of the Executive Director, Creative Director, and Program Manager. As an Academic Program Manager, you will play a lead role in managing, planning, and administering the logistical aspects of various academic program activities, including award/grant cycles, annual reporting processes, and oversight of funded programs. Additionally, you will play a crucial role in the planning and execution of academic symposia and seminars, as well as contribute to community-building activities for the UCSF neuroscience community. The ideal candidate will possess strong organizational and time management skills, excellent interpersonal and communication abilities, and the ability to work effectively in a team and independently. The role will also prepare brief reports and conduct analyses that will help inform strategic planning for the Weill Institute. Individuals with experience applying analytical problem-solving abilities, quantitative skills, and who have a degree in the life sciences are a plus, but scientific expertise is not required to excel in this role. In the coming year, the Weill Institute plans to enhance its public profile and online presence to engage public audiences more effectively. While not mandatory, candidates with an interest or experience with different media formats (e.g., social media platforms, podcasts, or online content creation) will be considered favorably. This position will be a core member of the UCSF Weill Institute team, administratively reporting to the Program Manager and working closely with the Executive Director who provides oversight on the Institute's initiatives. The Academic Program Manager will also regularly interact with faculty, graduate students, and administrators at UCSF and also engage with a variety of external stakeholders. This is a hybrid position that requires 60% working on-site at the Joan and Sanford I. Weill Neurosciences Building (1651 4 th Street, San Francisco, CA 94158) at the UCSF Mission Bay campus.

"Sandy" Weill, the UCSF Weill Institute for Neurosciences brings together world-class researchers with top-ranked physicians to solve some of the most complex challenges in the human brain. Leveraging UCSF's unrivaled bench-to-bedside excellence, the UCSF Weill Institute links clinical and basic neurosciences to promote and support innovative collaborations and catalyze a new era of advances against brain diseases.
The UCSF Weill Institute aims to unify and bolster the entire UCSF neurosciences community, at all levels, providing support for key departmental/center initiatives as well as enabling new large-scale cross-departmental activities and partnerships.
Formally united within the UCSF Weill Institute umbrella are the departments of Neurology, Neurological Surgery, and Psychiatry and Behavioral Sciences, as well as the Neuroscience Graduate Program, a cross-disciplinary alliance spanning basic science and clinical departments, and the UCSF Institute for Neurodegenerative Diseases, a multidisciplinary research center focused on finding effective treatments for neurodegenerative disorders. Additionally, through core program initiatives, the UCSF Weill Institute actively supports neuroscience activities spanning more than 15 additional departments and centers.
Operationally, the UCSF Weill Institute functions as a conduit between departments and centers, adding supplemental support to existing operations, while also fostering new programs and initiatives. Despite the broad mission and far-reaching impact, the administrative operations of the UCSF Weill Institute are intentionally designed to be lean and efficient. A small core administrative team provides exclusive support for all Weill Institute-born initiatives while also working in close collaborations with numerous existing department/center administrations to support a variety of cross-departmental efforts. As such, flexibility is an essential quality of the UCSF Weill Institute administration, as well as a diverse skill set to meet varied and evolving needs. For this reason, all team members must satisfactorily perform their jobs to ensure continued success for the UCSF Weill Institute for Neurosciences.
The Department of Neurology is a teaching, research, and clinical care unit within the School of Medicine (SOM). The Department of Neurology is a large, multi-site department, with locations including Mission Bay, Parnassus, Mt. Zion, ZSFG, VAMC, and the Gladstone Institutes and is affiliated with the UCSF Weill Institute for Neurosciences. The department is constructed of 14 administrative divisions with 11 clinical specialties. The department has 250+ faculty and academic employees, 300+ staff positions, and 182 trainees including residents (50), clinical fellows (47), and postdoctoral scholars (85).
The Department has an annual operating budget of over $120M and has consistently been the top recipient of NIH funding across all U.S. Departments of Neurology, in addition to being the #1 or #2 recipient of philanthropic dollars across all departments at UCSF. The department is also ranked #1 nationally by US News and World Reports for its clinical care.
Required Qualifications
Bachelor's degree in a related area and/or equivalent of 3yrs related experience/training
Minimum 3+ years of related experience
Strong organizational skills and ability to manage time effectively to balance multiple tasks and timeframes.
Strong skills in short-term planning, analysis, problem-solving, and customer service. Ability to work well under pressure, while maintaining a service-oriented approach.
Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
Ability to communicate effectively with all levels of personnel as well as senior leadership and donors.
Performs analyses and prepares reports for strategic planning and resource allocation, including applying quantitative and qualitative assessments of trends, sources, and opportunities.
Ability to meet deadlines and follow through on assigned duties in an independent manner.
Knowledge of a variety of administrative operational activities such as process management, event planning, basic fundraising processes, accounting, and contracts and grants guidelines.
Ability to work well with others and as part of a team; being flexible in a dynamic environment.
Functions as the gatekeeper for academic programs, serving as a primary point of contact.
Manages communications, prioritizes, and addresses issues according to urgency, escalating issues where appropriate.
Ability to use sound judgment, and discretion and maintain confidentiality.
Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
Thorough knowledge of University rules and regulations, processes, protocols, and procedures.
Preferred Qualifications
