EDUCATION and/or EXPERIENCE
High school graduate or equivalent with five years administrative or advanced secretarial experience. Advanced level skills using personal computer word processing and spreadsheet applications such as SharePoint, Excel, Access and Project are required. Knowledge of organizational practices, policies and programs is desirable. Must be highly organized and able to independently plan work and develop procedures. Must have good oral and written communication skills..
INTERVIEW SELECTION PROCESS: The selection process may include one or more components to demonstrate applicants' knowledge, skills and abilities in job related areas. These may include exercises such as practical demonstrations, written communications, oral interviews and/or competency assessments.
SUMMARY
Responsible for document control, configuration management, and resource coordination of capital projects. Coordinates key project data and documents involved in the execution of Capital Projects to ensure projects are completed on time and are in compliance with government and safety regulations. Performs scheduling and non-technical tasks necessary to keep projects within scope, schedule and budget. Assists Project Managers, Resident Engineers and/or Project Engineers on multiple capital projects simultaneously in an office environment or at a construction site.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Update weekly project status reports and upload details into assigned database system.
2. Process submittals, Requests For Information, Change Directives, Work Order Request Forms, Inspection Daily Reports and new contractor badging requests.
3. Utilize SharePoint and/or Primavera Contract Management to manage all documents pertaining to a project by creating specific tracking sheets to record the document status within the project or scope of work.
4. Assist scheduler with updated information to assist in managing the execution of a project.
5. Assist Project Managers/Project Engineers or Resident Engineers with duties to include, but are not limited to creating forms, reports and PowerPoint presentations.
6. Coordinate and perform administrative duties on a basic project/construction management level from inception to completion.
7. Attend meetings and record meeting minutes and establishes and maintains open lines of communication with all project team members.
8. Perform other duties as assigned.
