BACKGROUND

Friends of the Columbia Gorge was founded in 1980, with members in Oregon, Washington, and beyond dedicated to preserving, protecting, and stewarding the Columbia River Gorge National Scenic Area. With offices in Portland and Hood River, Oregon and Washougal, Washington, the organization uses an array of tools (advocacy, litigation, land acquisition, and public education) to ensure the Columbia Gorge remains a wondrous and vibrant place. In 2005, Friends launched the Friends of the Columbia Gorge Land Trust, a 509(a)(3) support organization to acquire spectacular landscapes within the Columbia Gorge.

SUMMARY OF POSITION

The Development and Database Coordinator is a member of Friends' Philanthropy Team and provides strategic support for our fund development efforts through special event coordination, stewardship, and individual contributors. This position is responsible for processing, recording, and sending correspondence for all incoming donations. Serving as caretaker of Friends' database (Every Action), and software programs. This position maintains and runs reports from database records of more than 5,000 members and non-members to support fundraising campaigns and organization-wide needs. This position directly supports the Director of Philanthropy and will work closely with Team Philanthropy and other staff.

ACTIVITIES

Philanthropy Team Support: 40%

Provide general and capital campaign support and maintain effective day-to-day administration of the ongoing capital campaign and other duties as needed.

Respond to inquiries from donors and others in person, on the phone, by email, and/or in writing.

Assist with strategy, planning, coordination, and/or execution of campaign and other events which may include hikes, property tours, house parties, onsite/offsite donor meetings and visits, confirming participants and guests, arranging for catering, and following up.

Support event set-up, execution, tear down and follow-up.

Prepare and print various types of correspondence for mailings-fold and stuff envelopes.

Assist with other responsibilities as assigned by the Director of Philanthropy.

Gift Processing & Database: 40%

Responsible for gift processing; data entry of gifts, recording pledges, reviewing donor accounts for accuracy, and appropriate relationship recording.

Track sponsorships, corporate/foundation grant processes, member event participation, and other donor engagement.

Responsible for timely preparation and mailing of correspondence.

In conjunction with Philanthropy Team members, process mail and checks, and prepare bank deposits.

Maintain the accuracy of database information.

Serve as point person to cross-train staff on basic functions and database capabilities.

Administrative Support and Reporting: 20%

Provide direct support to the Director of Philanthropy and the philanthropy team.

Assists in maintaining SOPs.

Work with philanthropy team to produce reports, mailing and donor lists.

Analyze the effectiveness of various fundraising methods via reporting.

In conjunction with Accounting, conduct monthly, quarterly, and annual reconciliation of all donations.

Answer the main phone and Portland office secure entry door access (through Cloud software using any device) and direct to appropriate staff.

Respond to inquiries providing exemplary customer service.

Record activities in the database.

Engage and train volunteers to assist in office and event work.

REQUIRED QUALIFICATIONS

CRM donor database experience.

Two+ years of experience in philanthropy for non-profit organizations; or an equivalent combination of education and experience.

Good people and critical thinking skills.

Analytic thinker who identifies efficiencies, areas for improvement, and data trends.

Strong organizational and time management.

Ability to function independently and as a member of a team.

Ability to keep confidentiality.

Good written and oral communication skills.

Ability to work some non-standard hours including weekend or evening events.

PREFERRED QUALIFICATIONS

Experience in an administrative position.

Proficiency with Microsoft Office Suite, Google Suite.

Interest in community-centric fundraising principles.

COMPENSATION & BENEFITS

WORKING ENVIRONMENT

Full-time within the typical Monday through Friday office hours; hybrid between office and home. Minimum of two days in the office per week and the last business day of the month. Work environment includes desk work with a sit/stand option, using a computer extensively, answering phone, picking up or delivering to/from post office and bank, opening and distributing mail, managing gift processing, and lifting up to 30 lbs. on occasion.
