Our team is growing and we are looking to add a multifaceted and highly motivated Legal Operations Information Governance Specialist to join our Corporate Legal team! Vice President, Legal managing the Legal Operations function at OMERS strongly believes in developing talent and is looking for a candidate that has a strong drive to learn and desire to help their colleagues succeed with their initiatives. The Legal Operations Information Governance Specialist will be a key contributor and will interact with partners throughout the Chief Legal & Sustainability Officer group (“CLO Group”). This role will support a number of key initiatives, including data governance and information management, and system implementation and administration. Responsibilities:
Assist Vice President, Legal with various initiatives
Contribute to the development of appropriate materials, conducting training sessions and be the change advocate to drive data governance best practices within the CLO Group
Educate the CLO Group on data governance best practices and their importance in maintaining data quality and compliance with internal policies and guidelines
Assist in the maintenance of the Law Library for the OMERS legal groups including updating resources as needed
Assist with the implementation and administration of software solutions implemented by the CLO Group (e.g., document management system). These activities include acting as the primary point of contact for support, user acceptance testing and management of updates to such software solutions.
Assist in the analysis of the CLO Group legacy records for retention and disposition within the classification guidelines of OMERS
Support the annual records retention process for the CLO Group
Assist in the data room preparation
Support e-discovery & litigation activities
Partner with team members in knowledge management efficiency projects, including analyzing and moving data and records to SharePoint, iManage or other systems as necessary
Regular review of content in the Legal knowledge management SharePoint sites and verifying their relevance and status
Assist in the production of documentation and process maps for internal procedures and seek opportunities for process excellence
Act as administrator of the Legal Tracker enterprise e-Billing system and iManage document management system
To succeed in this role, you bring the following:
Strong oral and written communication skills and interpersonal skills
Ability to work with and coordinate with multiple stakeholders
Ability to draw insights, analyze metrics, and convey ideas clearly and concisely
Self-starter who works both independently and with a team, while fostering a collegial and creative team culture
Desired Experience:
Minimum 5-years’ experience
Law Firm experience preferred by not required
Masters of Information / Information Management preferred but not required
Knowledge and expertise in data governance, business process modeling, metadata, data lineage, data classification and data quality
Knowledge and understanding of data regulations, privacy, ethical use, data sharing, critical data indicators, access management and data masking techniques
Excellent verbal and written communication to effectively articulate and communicate with both business and technical development teams
Experience in project management and the ability to lead data governance initiatives.
A team player with a good understanding of change management
Experience with: Data room setup and administration (e.g., Intralinks)
implementation and administration of software solutions
Legal Tracker (Serengeti)
iManage Document Management System
Coordinating e-discovery and litigation activities
