Detailed Description:

This is a full-time temporary, benefit-based position with an anticipated end date of June 30, 2025.

The position requires an individual dedicated to engagement with students, faculty, community stakeholders, and administrators; and invested in social justice, equity, and inclusiveness. Strong administrative and organizational skills, combined with a sense of mission for the department, are also needed, as is a sincere commitment to promoting diversity and inclusion.

The Community Engagement Initiative (CEI) represents a strategic effort to redefine and enhance the interaction between schools, families, and communities, with a special emphasis on fostering equity and inclusivity in educational settings. For an Assistant Director engaged in this initiative, the purpose expands beyond mere organizational tasks to embody the facilitation of meaningful collaborations that bridge the gaps between diverse community stakeholders. This role is pivotal in orchestrating efforts to build capacity among participants, ensuring that dialogues are not only constructive but also culturally responsive and inclusive of all voices. The Assistant Director is central to identifying, implementing, and evaluating innovative models of community engagement that are adaptable and scalable, reflecting the initiative's commitment to systemic change.

In this context, the Assistant Director's work is intrinsically linked to assisting in the organization and possible implementation of peer-to-peer learning and partnerships, thus amplifying the initiative's reach and impact. They play a crucial role in attending meetings, synthesizing information, best practices, and feedback from a variety of sources to inform the continuous improvement of community engagement strategies. By fostering an environment of trust and mutual respect, the Assistant Director helps to lay the groundwork for sustainable changes in how educational institutions interact with their communities. This includes advocating for and implementing strategies that address cultural, racial, and linguistic barriers, thereby contributing to a more equitable and accessible educational landscape.

Duties and Responsibilities:

Project Supervision and Management:

Utilizes administrative management and independent judgment to check, trace, and follow up on various administrative and project management issues. Including but not limited to the attendance of educational partner meetings for Peer PLLX [1] and Peer Leading and Learning Network (PLLN). These are virtual and in person alike.

Responsible for managing the CEI 2.0 calendar on a daily basis. This is a critical portion of the job.

Assists the office in performing high-level administrative tasks, including the creation of spreadsheets with Microsoft Excel and Google Sheets updating and utilizing program records primarily on web-based programs.

Autonomously assists the Assistant Dean daily through responsibilities such as CEI 2.0 meeting planning and preparation, verifying that paperwork submitted for signature is complete and free of errors, ensuring that the Assistant Dean is provided with all necessary information.

Coordinates the logistics for the CEI 2.0 Project meetings; coordinates services with the University Facilities department and/or SOLES Budget and Operations office to prepare meeting facilities; coordinates services with the USD Banquets and Catering office for refreshments; assists with drafting the agenda; and independently prepares materials/handouts.

Works with the office administrators to coordinate, plan, and ensure consistency and accuracy of meeting scheduling. Submits all meeting schedules by stated deadlines and independently manages changes, additions and deletions as requested by the Assistant Dean.

Monitors SOLES, USD, and external deadlines for CEI 2.0 grant details, such as catering, publicity/marketing, etc., when planning meetings and events.

Composes and types letters and memoranda, including multiple letters and emails, using field merges.

Updates, maintains and distributes project handbooks and manuals to students, faculty, stakeholders, and staff as necessary.

Types, develops and maintains departmental forms as needed. This sometimes requires coordination with ITS for eforms.

Supports the processing and distribution of information related to program evaluations for the CEI 2.0 grant aligned with office requirements. Is responsible for timely and confidential handling of results.

Independently and thoroughly collects and records program documents, presentations, and other materials as needed.

Distributes program evaluation reports on a semester basis to the Assistant Dean.

Maintains and fosters an inclusive and respectful office environment in appreciation of multiple student experiences and backgrounds.

Other duties as assigned.

Minimum Qualifications:

Commitment to social justice, diversity, equity and inclusion.

Preferred Qualifications:

Masters Degree

Experience within school systems. This can be as a teacher, counselor, other staff, or principal.

Experience working with School and County Offices.

Experience working with Student Information Systems and similar software utilized in office i.e. Workday, Salesforce, Google Suite, etc.

Demonstrated commitment to department principles and goals.

Performance Expectations - Knowledge, Skills and Abilities:

Proficiency in Microsoft Word, Excel, and Internet and web-based applications including google drive, google sheets and google docs.

Ability to use independent judgment to effectively plan activities and achieve project goals.

Knowledge and understanding of management principals, office protocol and practices.

Ability to manage and coordinate multiple, simultaneous programs and tasks.

Must possess strong organizational and analytical skills.

Must possess excellent, verbal, and interpersonal communication skills.

Ability to be self-directed and work independently and prioritize workload effectively.

Ability to operate a personal computer and other general office equipment.

Ability to meet deadlines.

Ability to work effectively under pressure.

Ability to work occasional late hours and on the weekends.

Ability to contribute in creative and dynamic ways, to the larger vision of a growing organization.

Ability to triage and prioritize calls, set priorities and make decisions.
