LIVE-IN Superintendent
The Superintendent will provide the highest possible level of customer service and support for all aspects of property maintenance and operations. The position reports to the Facility Manager and supervises the work of in-house staff and contract service providers in the performance of building operations, maintenance, repair/restoration, and housekeeping and resident services. Supports and at times take ownership in managing building professional and construction services to include MEP, Structural, HVAC, Electrical, Plumbing and all construction trades.
The position is located a luxury, Class A high-rise community located in Hudson County, NJ. Building amenities include 24 hour concierge, full service fitness center, and other first in class amenities.
The successful candidate must be willing to operate in a highly organized, structured environment within clear reporting lines.
Responsibilities
Responsible for efficient operation and physical condition of the building complex.
Ensures that buildings, systems, equipment and grounds are properly maintained and in compliance with codes, industry standards and best practices for facility operations and maintenance.
Ensures that proper safety precautions are taken for personnel, residents, guests, property and equipment in accordance with the building's policies, procedures and standard.
Evaluate and assist residents in every regard of work orders and projects.
Conducts regular inspections of the property, determines physical conditions and takes appropriate action to ensure safe and proper operation.
Issue reports outlining items inspected and action steps for items that need addressing.
Implement plans, systems and procedures for building maintenance and improvements.
Implement weekly, monthly, quarterly and annual calendar, documenting required maintenance of all aspects of physical systems and infrastructure of the complex.
Initiate, organize & supervise building operations and make improvement recommendations as appropriate.
Evaluate and assist residents in every regard of work orders and projects.
Inspect the work of those supervised to validate that it meets trade and community standards and to make sure all employees and trades people conduct themselves according to community policies.
Oversee the purchasing, inventory controls, and supply inventory levels.
Responsible to document all physical elements, systems and equipment of the complex. Review same on a periodic basis to serve as training tool for existing and new maintenance staff.
Responsible to work with staffing provided by a third-party vendor. Participate and conduct meetings to resolve issues and coordinate departmental communications.
Maintain accessibility to all residents and community staff through high visibility and excellent communications.
Be available to respond to emergencies at the property, as necessary. Be available for weekend inspections, and weekday evening committee meetings and other events as required.
Collaborate with the Community Manager on a daily basis and provide weekly action lists on the status of projects and ongoing operations.
Maintains safe practices and procedures. Assure compliance with appropriate safety practices and procedures and with applicable federal, State and local codes, regulations and requirements.
Supports Facility Manager in creating Maintenance Procedures, Maintenance record-keeping procedures, and ensures full compliance.
Regular attendance and punctuality
Performs seasonal operations, such as servicing of HVAC systems, boilers, etc. as indicated on the preventive maintenance program
Maintains disaster preparedness by identifying potential problems, developing response plans, managing crises.
Completes reports/work orders of repairs (work needed).
On call availability for emergencies and projects as assigned by property manager. (Overtime pay, when applicable, as required by law)
Requests materials, tools, and supplies needed for a job.
Administrates preventive/reactive maintenance schedule.
Records and evaluates preventive maintenance activities and programs.
Oversees or participates in construction, installation, and preventative maintenance of equipment.
Record and report all unusual and irregular conditions to the Community Manager.
Maintain cordial, professional manner in dealing with residents, contractors, Management, etc.
Ensure all equipment, supplies and materials are in functional working condition in a neat and orderly manner.
All other duties as directed by the Board of Directors or Management.
Skills High school diploma or equivalency preferred, plus a combination of education and relevant experience in a Facilities Maintenance capacity.
10 years' experience in facilities maintenance and operations management in a supervisory capacity with strengths in Mechanical, Electrical, Life Safety and Fire Protections Systems. Residential property experience, project management or new construction experience is a plus.
Strong technical knowledge and skilled at troubleshooting building MEP including HVAC, traction elevators, fire alarms and suppression systems, pumps, valves, motors, switches, timers and controls is a must.
Administrative experience, organizational ability, supervisory skills, demonstrated communicative ability, both orally and in writing. Proficient in report writing.
Capable of interpreting codes, regulations, standards, and governing documents of the Association.
Computer and e-mail literacy is required; to include a proficient working knowledge of word processing and spreadsheet software.
Consistent, dependable and accurate in carrying out responsibilities to a successful completion.
Neat, professional appearance and an aptitude for public relations in a customer service environment.
Prior experience in high-rise facility management, community management or governance.
HVAC or other training or certification may be required
Must be able to operate tools and equipment related to facility maintenance.
Knowledgeable in the use of Microsoft Outlook, Word, Excel and PowerPoint.
Physical requirements Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 100 lbs or more following appropriate safety procedures. This movement can occur throughout the day. You must also be able to climb several flights of stairs if necessary.
Must be able to sit and stand for extended periods of time.
Must be able to communicate both on the phone and in person with our clients to resolve issues and manage the business.
Must have finger dexterity for typing/using a keyboard.
Must be mobile enough to move around both the office, to make copies, send mail and faxes and to walk around the property. This could include lengthy walks on uneven areas.
Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other associates.
Capable of working extended hours, including evenings, weekends and holidays as necessary.
This position may alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.
Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employees must remain alert to working conditions and aware of safety, health, and environmental concerns.
