Description

The Program Coordinator is responsible for the planning and implementation of programming emanating from Student Involvement & Leadership including department-sponsored initiatives, campus-wide events, and support of student club and organization events. The coordination assists the department with the implementation of orientation and Weekend of Welcome and other signature events. The coordinator executes weekly student-centered programs on behalf of the department with a focus on weekend and evening programs. The Program Coordinator serves as the primary advisor for Campus Activities Board (CAB) and Gael Force (the campus spirit organization) and provides support to student-led programming. The Coordinator is responsible for overseeing engagement and co-curricular opportunities for SMC students. The role manages the logistics and operations of events sponsored by student organizations and serves as the department's professional staff point of contact to campus partners such as food services, facilities, event planning, and business office. This is a highly visible position requiring regular attendance at campus events which include night and weekend hours. Flexible working hours are available.

Departmental Programming: Plan and implement a robust and intentional programming calendar that includes weekly events and activities that attract a diverse student population and promote inclusion and a sense of belonging; Utilize the Student Enhancement Fee to execute large-scale student-centered events, programs, and activities, including two signature events each semester; Provide leadership in the strategic coordination of campus activities and student programming with consideration of other campus events. Coordinate all aspects of the event planning process including contract execution, space reservation, logistics and day of supervision.

Student Organization Advising and Support: Oversee a variety of student engagement events and programs planned and facilitated by Campus Activities Board (CAB), Gael Force and student organizations within Student Involvement & Leadership. Serve as primary advisor of Campus Activities Board and Gael Force, ensuring programs are properly planned, well-advertised and consistently assessed. Serve as a resource on all aspects of event planning in accordance with campus policies and procedures.

New Student Onboarding: Assist with the planning, implementation, and assessment of New Student Orientation and Weekend of Welcome. Collaborate with campus partners in the coordination and implementation of various onboarding events and activities for incoming students and their families that promote equity, inclusion, and a sense of belonging.

Marketing and Communication: Oversee all aspects the department's marketing and communication strategies, including but not limited to digital and print marketing, weekly event e-mails, and website management; develop, manage and maintain campus event webpages, with specific oversite of "This Week at SMC" webpage and "The Scoop" weekly email; continuously assess marketing and communication methods and utilize data to inform marketing strategy. Collaborate with SMC Marketing & Communication (MarCom) department to determine social media coverage and photo opportunities that highlight diverse student programs and campus events.

Event Planning Support: Advise student organizations in administrative requirements for event planning including reviewing and negotiating contracts for vendors/speakers, how to reserve facilities, resources for catering, to do list for calendaring and planning events. Serves as the liaison between Student Involvement & Leadership and campus partners such as Meetings, Events, & Conference Services, Facilities Services, IT Services, and the Business Office. Assists Campus Activities Board and Gael Force with event logistics when necessary and provide supervision for all major events. Serve as a resource to campus partners in event planning process and assist when needed.

Campus Events and Traditions: Collaborate with campus partners to plan, implement, and evaluate campus-wide social and educational programming and events that promote inclusion, school spirit and/or a sense of belonging, including but not limited to Welcome Events, Homecoming, Heritage Week, Watch Parties, etc.

Software Management: Oversees event registration section in the student organization software management tool (Presence). In collaboration with the department team, assists with the development and refinement of the online student organization forms. Assists and trains student organization leaders and campus partners with the navigation of the site which includes campus programming initiatives, student organization event planning, and implementation of campus policies and procedures. Regularly assesses overall software and identifies outcomes achieved that support leadership development or student engagement. Assists with the maintenance of the software and regularly meet with software representatives to learn how to best utilize the software capabilities.

Other Duties as Assigned:

Works in a highly collaborative, fast-paced, and culturally diverse campus environment and develops effective relationships within the division of Student Life and with other areas of the College. Night and Weekend work required with flexible scheduling available. Manages some responsibilities in the absence Student Involvement Staff or other staff vacancies. Represents the department on Student Life or campus-wide committees when necessary.

Requirements

Education: REQUIRED: Bachelor's Degree or a combination of education and experience PREFERRED: Master's Degree

Experience: (years required and applicable field of experience):

Minimum two years administrative/office support experience; experience in similar setting or higher education highly desirable. Evidence of successful work with undergraduate students will be seen as an asset.

Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical)

Experience working closely with populations from diverse backgrounds in a higher educational setting (e.g. academic, socioeconomic, cultural, disability and ethnic backgrounds);

Demonstrated experience with and commitment to the promotion of diversity, equity, inclusion, and belonging.

Knowledge of Word, Excel, Canva, Google

Ability to handle complex phone inquiries

Interacts in a calm manner in times of high service demand from diverse student groups

Ability to work in an organized manner with emphasis on detail and accuracy.

Ability to work independently with minimum supervision yet remain part of a team.

Ability to maintain high levels of confidentiality and to protect the privacy of students.

Excellent organizational skills, oral and written communication skills.

Demonstrated knowledge of higher education student development theory, risk management and legal issues.

Ability to relate effectively and positively with students, families, faculty, staff and guests of the College.

Fluency in multiple languages is a plus.
