What you'll do
The Workplace Experience (WE) Lead thrives in a fast-paced environment, juggling multiple tasks while ensuring the office runs efficiently. They enjoy the challenge of always thinking a step ahead to create an amazing work environment. The ideal candidate must be flexible and good-natured to handle a wide variety of functions that vary from basic to complex and challenging. They are an organized, detail-oriented and customer-centric person who measures success by the positive impact they have on the Docusign workspace. This role will be required to work both collaboratively and independently, responsible for event management, vendor management, space planning, troubleshooting and diagnostics in Docusign office space. As part of the People Team, they will champion company-wide initiatives that continue to build and transform our workplace culture, creating a place for employees to do their best work.
This position is an individual contributor role reporting to the Manager, Workplace Experience- North America.
Responsibility
Assist with a variety of services, coordinating workplace maintenance and repair work to support the successful operation and continual upkeep of the site
Coordinate space planning activities including headcount projection requirements, neighborhood maps, and enterprise space planning system updates
Coordinate with key partners and Executive Assistants to ensure teams have adequate space for collaboration and meeting requirements
Partner closely with the Property Management team to ensure compliance with all building protocols, safety and security procedures, and office access requirements
Manage office janitorial relationship, ensuring SLAs are consistently met and the office maintains the highest standards of cleanliness
Plan multiple monthly in-office events, coordinating vendors, budget, communications and day-of event execution
Collaborate with other WE team members worldwide, cross-functional teams and key stakeholders to provide impactful events and programs that build company culture
Maintain an event calendar, analyze trends and implement best practices to improve attendance and satisfaction from employees
Monitor internal feedback and communication channels such as the local Slack channel and team ticketing system (ServiceNow) and escalate findings appropriately
Co-develop and implement WE programs and operating standards to promote a best-in-class in-office experience for employees, including but not limited to visitor experience, company culture, customer service and sustainability
Send office-wide written communications via Slack and email
Manage Vendors including, scheduling, relationship building and performance management
Own the purchasing process for new and existing goods and services
Manage the Workplace Experience budget efficiently and effectively, tracking expenses and identifying cost-saving opportunities
Collaborate and work closely with Seattle WE Team Associates on site-specific projects
Support reception operations as needed, providing coverage and assistance with mail and badge access
Deliver an excellent customer experience to employees, visitors and vendors
Maintain regular communication with WE Team Leadership, organizing their input into actionable programs and setting clear expectations for project and service delivery

In Office: Employee works from the physical workspace 100% of the time.

What you bring
Basic
4+ years of experience in Workplace Experience
Experience in office expansions and coordinating with internal and external Project Managers
Facilities Management experience

Ability to handle multiple projects simultaneously and while working independently

Proficiency with Google Suite, Workday, Concur, Oracle, ServiceNow
Ability to work weekends, early mornings and evenings on an as-needed basis
Wage Transparency
Based on applicable legislation, the below details pay ranges in the following locations:
Washington and New York (including NYC metro area): $28.99/hour - $40.89/hour
