Program Coordinator, Leadership Programs

Washington, DC, United States

The Alliance for Securing Democracy at GMF, a nonpartisan, transatlantic initiative, develops comprehensive strategies for government, the private sector, and civil society to defend against, deter, and raise the costs on autocratic efforts to undermine democracy and democratic institutions. ASD works to publicly document and expose these actors' efforts to subvert democracy in the United States, in Europe, and around the world.

Job Summary:

As a member of ASD, the Program Coordinator will support the team with essential operational, outreach, and administrative activities. Specifically, this role will assist ASD leadership and senior staff with grant administration, including proposal drafting, budget support, and writing reports for donors. The position will also serve as a key administrative asset for the team and will be the point person for coordinating ASD's outreach trips across the United States and globally. This person will be fully integrated into ASD's substantive work to be able to write authoritatively about ASD's projects to external audiences, especially ASD's existing and prospective funders.

Candidates should be excellent writers, organized, with strong attention to detail, and be able to work independently and complete tasks quickly without sacrificing quality and accuracy.

Essential Duties/Responsibilities:

Draft grant reports and proposals with minimal oversight from senior staff.

Keep a calendar of important grant reporting and application deadlines and reach out to relevant staff for input well in advance of deadlines.

Work closely with other parts of GMF to ensure that any grant related product has relevant approval and pieces.

Work with GMF's finance team to process invoices and submit reimbursements.

Interface with GMF information management systems for donor relationship management, email distributions, invoicing, report formatting, file storage, virtual meetings, and other administrative functions.

Fill in for ASD at GMF's other administrative staff as needed.

Other projects as requested.

Knowledge and Skills Needed: At least 2 years of prior work experience in a think tank, public sector, or non-profit setting, preferably with administrative and/or grant writing experience

Excellent writing ability, able to grasp and communicate complex and, at time, technical concepts.

Knowledge of or demonstrable interest in issues of information manipulation and threats to democracy.

Strong organizational habits and management skills, with superb attention to detail and an ability to meet multiple deadlines.

Strong computer and database management skills, including experience with Microsoft products and a demonstrable interest in building deep knowledge of GMF systems such as Dynamics, Concept, NetSuite, InDesign, OneDrive, Outlook, Teams, Zoom, and others

Experience editing also a plus.

Education: Bachelor's degree in a relevant field

Salary: $43,240 - $54,050

We highly encourage individuals from underrepresented backgrounds to apply. Historically, underrepresented groups include (but are not limited to) Black, Latinx/o/a/e, Indigenous, Asian, Arab, Middle Eastern, Pacific Islander, biracial, multiracial, female-identifying, the disability community, LGBTQIA+, and other marginalized identities.

Don't meet every single requirement? Studies have shown that women and people of color are less likely to apply to jobs unless they meet every single qualification. At GMF we are dedicated to building a diverse and authentic workplace, so if you are excited about this role, but your experience does not align perfectly, we encourage you to apply. You may just be the right candidate for this or other roles at GMF.
