**Description**
**Essential Functions:**
* Assists property and engineering teams with customer and vendor customer service.
* Assists Managing Director with administrative tasks including expense report reconciliation, scheduling travel and meetings, etc.
* Manages Angus. Reviews Angus work orders throughout the day to ensure prompt response times; enters requests from customers and others into the system as needed. Closes out work orders as needed and follows up to ensure customer satisfaction.
* Answers, screens and directs incoming calls.
* Assists all visitors coming into the management office.
* Check the mail daily; opens and distributes.
* Implement Customer amenity program, and support Community Creation efforts for the market.
+ Coordinate customer events, furnishing contracts as needed
+ Facilitate misc. customer offerings
+ Market events to customers via memo blasts, lobby posters, lobby directory
* Coordinates and updates new customer handbook
* Monitor customer systems (Angus, Lobby Directory, Parking Analysis) and building contact lists
* Coordinate customer correspondence, including: letters, memos, newsletters, etc.
* Manage tenant move in/move out process in coordination with APM/Property Manager.
* Generate current Rent Roll & Stacking Plans monthly and distribute to management team.
* Schedules conference room reservations.
* Review and approve After-Hours HVAC charges within Angus.
* Monitors Customer Certificate of Insurance (COI) through Certrax and reviews Vendor COIs as needed.
* Files all tenant and vendor correspondence and maintains property files.
* Coordinates estimates resulting from tenant work order requests through angus proposal function.
* Processes tenant bill-backs through Angus/Snap Pay/Genea.
* Completes data entry for utility tracking and other benchmarking tools.
* Service Contracts:
+ Verify vendor is active in vendor management system; if not, complete new vendor set up, including vendor activation and providing appropriate billing information
+ Determine what contract/letter agreement is needed and draft as needed. Check with APM/Property Manager for accuracy
+ Monitor and track contracts to completion
+ Upload to vendor management system
+ Continuously monitor for expiring service contracts. Work with APM/Property Manager to conduct bidding process.
* Completes daily security pass down log and send to management team, security, engineering, and porter to notify of all contractors needing access into the building/suites.
* Reviews Securitys Daily Activity Reports (DAR) each day. Alerts management team of any unusual activity noted in the DAR. Creates work orders for items listed in the DAR needing repair.
* Communicates throughout the day with Porter regarding cleaning, spills, restroom supplies, or other janitorial issues as needed.
* Communicates throughout the day with Security as needed regarding security related issues.
* Orders office supplies.
* Files all customer and vendor correspondence.
* Maintains access card databases.
* Assists Assistant Property Manager in other administrative functions as required.
* Performs other duties as assigned.
