Description
The Enrollment Operations Manager oversees the management of operations service requests and new projects - organizing and assigning project leads, monitoring progress and communicating status updates with the broader Admissions Team. This team member will also be responsible for managing the creation, organization and maintenance of all prospective student email communications as well as maintaining the Admissions pages on the Loyola website. The position is open to hybrid work. I.
ORGANIZATIONAL RELATIONSHIPS Reports to: Director of Enrollment Operations for Enrollment Management Assignments received from: Director of Enrollment Operations Interacts with: primarily Enrollment Management staff, but also faculty and staff in all colleges and departments, university administrators, outside vendors as needed.
Examples of Duties
Essential Functions: Be an active member of the Operations team that helps assist in the development of policies, processes, programs and initiatives designed to increase enrollment while maximizing efficiency, effectiveness and accountability to the institution. Organize the intake and fulfillment of operations service requests and new projects on the Operations Smartsheet. Responsibilities include helping to define objectives, setting deadlines, maintaining a calendar of projects, as well as monitoring progress toward successful completion of the creative product. Act as a member of the Operations Team front line that can triage and troubleshoot early problems, prioritize requests and elevate advanced projects to the appropriate Assistant Director and/or Director, as well as assist in basic Slate CRM training with staff and faculty as needed. Oversee the creation, organization and maintenance of all prospective student email communications. Manage the Enrollment Management web pages on loyno.edu, ensuring that all admissions contact information, policies, deadlines and event information are current and updated, as well as build new web pages as needed. Develop, maintain and strengthen relationships with the broader Enrollment Management team at all levels. Communicate positively with counselors and other teammates, interacting with them as frequently as necessary to ensure an excellent working relationship, while building their trust in the Operations Team's abilities. Develops and maintains a thorough knowledge of the Slate CRM and Operations policies, as well as the needs of prospective students and Office of Admissions, Student Financial Services and Financial Aid teammates. Actively pursues edification and professional development opportunities as it relates to project management and also Slate CRM skills. The goals and priorities of a value-centered education must be reflected in any communications and presentations.
Additional responsibilities: Represents the Enrollment Management Operations team when required at internal and external meetings with team members, vendors, campus partners or national conferences. Performs additional duties as assigned by the Director of Enrollment Operations in Enrollment Management. Provide operational planning, collaboration, and support to the Director of Enrollment Operations on data collection, marketing projects and communication campaigns Assist with processing materials for undergraduate and graduate applications (e.g. transcripts, recommendation letters, test scores, resumes, personal statements, etc.) as needed. Assist in application processing during surge periods as requested Attend and serve prospective students at on and off campus recruitment events when requested.
Typical Qualifications
Required Education, Experience, Skills, and Abilities: Bachelor's degree required. Minimum one year experience working with an enrollment management CRM (e.g. Slate) Current knowledge of higher education admissions recruitment. Excellent understanding of the workflow from project inception to completion. Diplomacy and skill in interpersonal relations, to effectively interface with many personalities in many disciplines. Ability to work with a diverse, integrated team and a healthy work-place culture. Has proven leadership abilities in a collaborative team environment. Excellent ability to make sound business judgment and decisions. Able to successfully manage multiple projects while maneuvering sudden changes of direction. Strong organizational skills and the ability to work efficiently and productively under deadline pressure. Creative ability to continually seek to understand and utilize new technologies and trends to best serve a client's business. Proven managerial skills including people, mentoring, project, and budget. Excellent understanding of team dynamics. Ability to solve complex problems, develop and implement strategies and achieve goals with minimal supervision. Willingness to acquire an understanding of the Jesuit commitment to excellence in education, diversity of the student body, social service, and the liberal arts and sciences traditions. Ability to travel and work outside of traditional working hours, including nights and weekends, if needed.
