Job description

Essential Duties & Responsibilities:

•Develops and maintains positive relationships with tenants, vendors and contractors

•Manages accounts payable/receivable for each property, to include coding of invoices and entry into accounting system

•Receives tenant calls/ enters service requests in to work order system and dispatches to the building engineers

•Assists Property Manager with the bid process of contracted services

•Prepares commencement notices and rent commencement letters

•Assists the Property Manager in preparing the annual budget and escalations, CAM, Tax, and Insurance billings to tenants

•Responsible for rent collections

•Conducts property inspections and ensures that all physical aspects of the property are at all times fully functional and maintained in an attractive condition

•Updates and prepares monthly rent roll reports

•Assists in supervising capital improvements projects

•Prepares annual CAM billings and assists with prior year true-up

•Manages all lease administration and rent roll accuracy

•Reviews monthly variance reports, tenant ledgers & aged-receivable detail

•Manages property risk effectively by communicating incidents and potential liabilities

Required Skills

•Previous Commercial Property Management experience, required

•Working knowledge of commercial office building leases

•Strong working knowledge of the MS Office suite

•Excellent verbal, written, communication and interpersonal skills

•Excellent organizational and time management skills, including proficiency in evaluating and prioritizing issues

•Strong attention to detail

•Ability to work well under pressure and against tight deadlines

•Effective at multi-tasking

•Experience with Yardi, PM 2000, or similar property management / accounting software program, a plus++

•Experience with Net Facilities Work Order, or similar program, a plus++

•Experience with managing facilities-related personnel, particularly in the field of commercial property maintenance and janitorial responsibilities

Education & Experience

•High School Diploma, required, Associates Degree preferred

•Minimum of one to two years of commercial property management experience required.

•Professional Characteristics

•Highly Organized and able to complete tasks and meet deadlines as required, weekly, monthly

•Honest, conscientious, courteous, professional and diplomatic

•Ability to work effectively with executive-level management

•Creative and effective problem solver

•Ability to work effectively in fast-paced environment as a team player

•Motivated, with the ability to adapt quickly to changes

Physical Demands

•This position will require standing, walking, typing, sitting, reaching, kneeling, stooping, crouching, balancing, pushing, pulling and driving for extended periods of time, and the ability to lift up to 25 lbs., if necessary. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
