Front Office Supervisor - Village Health Partners - Plano, TX

JOB SUMMARY

Village Health Partners (now a part of Catalyst Physician Group) is seeking a Front Office Supervisor to join our Plano team. The Front Office Supervisor will play a key role in ensuring smooth operation of our office by overseeing all front office activities, managing staff, and providing excellent customer service to our patients. Previous supervisory experience in a healthcare setting is required. Medical Assistants with previous supervisory experience are encouraged to apply.

Village Health Partners is a well-established primary care practice dedicated to providing compassionate and comprehensive healthcare services to our community. We are committed to delivering high-quality, patient-centered care in a compassionate and supportive environment. We have offices in Plano, Frisco, and McKinney.

Responsibilities:

Hire, onboard, train, and mentor staff to ensure high-quality service delivery and adherence to office policy and procedure

Approve timesheets and monitor PTO and overtime

Daily huddles with front office team members

Assist with quarterly check-ins and yearly performance reviews

Collaborate with other departments to streamline processes and improve overall efficiency

Code and track invoices appropriately and submit for payment

Manage patient inquiries, complaints, and concerns in a timely and professional manner, striving to resolve issues to the satisfaction of all parties involved

Build and maintain professional relationships with building representatives and vendors

Inventory management, ordering supplies, and maintaining equipment

Daily close and cash audits

Maintain accurate patient records and ensure compliance with privacy regulations, including HIPAA

Monitor provider schedules, add or block appointments, and reschedule patients as needed

Maintain confidentiality of patient and personnel information

Qualifications:

3 years of previous management or supervisory experience within a medical office or outpatient clinic

EMR experience required - Athena preferred

Superior customer service and communication skills, both verbal and written

Highly motivated and organized

Knowledge of and adherence to HIPAA and OSHA rules and regulations

Skilled in identifying problems, researching, and recommending solutions

High degree of initiative, judgment, discretion and decision-making

Exceptional leadership and mentoring skills
