Information and Support Services Assistant

Serve as a generalist and cross-trained in all functions of Information and Support Services including but not limited to: information desk, mail services, reprographics, scheduling and event setup. Provide excellent service to ensure continuity and efficient operations for the Law School community.

Position Specific Responsibilities/Accountabilities :

Provide excellent customer service to students, faculty, staff and external customers. Meet customer needs, offer options, resolves problems and follow-up with customers. Ensure full customer satisfaction without unnecessarily referring customer to other staff members. Maintain friendly, helpful, and professional demeanor.

Work as needed with all production, distribution, support services and administrative/clerical tasks including but not limited to: all mail processing, duplication services, inter- and intra-campus distribution services, campus scheduling, event setup and support, moving and storage services, and information desk services. May assist other workers in performing similar work.

Must be flexible and willing to accommodate changes to assigned job duties and work schedules as needed. Work effectively, cooperatively and collaboratively with others.

Perform a variety of clerical/receptionist duties such as greeting, answering phones, responding to inquiries and providing appropriate information and/or directing the customer to the appropriate person/department.

Operate, inspect, and maintain all departmental and/or rental equipment including but not limited to: reprographic machines, postage meters, scales, event rentals, and various binding equipment. Notify supervisor of any equipment malfunction requiring repair and/or replacement.

Monitor and maintain sufficient inventory levels of all department supplies including but not limited to: copy paper, binding supplies, freight or mailing supplies (USPS, FedEx, UPS, etc.), and event setup equipment (tables, chairs, etc.).

Maintain inventory records and prices as necessary.

Maintain appropriate records, logs, and/or other types of information as required.

Assist with the maintenance and update of the ISS website.

Perform other related duties as assigned or requested. The Law School reserves the right to add or change duties at any time.

Requisite Qualifications :

Typically a High school diploma or equivalent. Minimum 1 year of experience. Combined relevant experience and education may be considered. Additional coursework, training, or experience in relevant areas is desirable. Incumbent will be expected to keep abreast of changes to regulations, policies, and relevant technology.

Knowledge of general office, phone, and interpersonal business etiquette.

Familiarity and use of modern office equipment to include but not limited to: fax, copier, postage meter, calculator, printer, etc. Possess computer skills to use email, word processing, enter data and other relevant equipment/software. Basic math to compute, balance and verify totals and input data accurately.

Read and understand written text/directions and apply policies and procedures. Research or make inquiry as needed. Must be able to take directives, work with little supervision while exercising good judgment and decision making. Work effectively and cooperatively as a team member. Ability to remain calm and professional when faced with a challenging situation and respond with tact and diplomacy. Develop and maintain positive relationships with internal and external constituents

Interact effectively with a diverse group of constituents requiring diplomacy, professionalism and poise. Ability to prioritize and manage multitude of tasks simultaneously, often with conflicting and moving deadlines. Attention to detail is essential to prevent mistakes that could adversely impact on the services and operations of the department. Take initiative and is resourceful in work processes to work efficiently.

May require valid California driver's license and driving record that meets LMU Vehicle Policy requirements. Notary certification desirable or willingness to successfully pass the Notary course.
