Job Summary
The Engineering Scheduler is responsible for coordinating the functions of a high-volume Engineering office, which includes construction, maintenance, and patient service activities. This position requires the knowledge and skills to operate and maintain a computerized maintenance management system (CMMS). The Scheduler will assist the Engineering Management Team in reporting, workflow, resource coordination, data analysis, and daily operations. The position requires strong organizational and technical awareness of maintenance and construction activities. Additionally, the Engineering Scheduler will provide customer service support to all hospital departments, vendors, and contractors requiring facilities involvement.
Job Responsibilities
Manage and maintain and CMMS database system, including work orders, preventive maintenance (PM), assets, users, scheduling, data analysis, rounding, and reporting.
Complete initials screening of work requests and work orders. Prioritize, and record ensuring they are properly completed by the requester.
Work with Engineering Supervisors to prioritize work and ensure proper resource allocation.
Review, plan and schedule all recurring PM activities.
Schedule 3rd party inspections and PM's with contractors, vendors, and service agencies
Ensure completed schedules and work orders are returned promptly and that all completed work orders are filled out completely by the maintenance tech, supervisor, and authorized contractor.
Monitor & manage the PM program, identifying changes needed based on activity results.
Screen contractors, vendors, and incoming calls for the Engineering Department. Provide answers to questions when possible and relay messages in a timely manner.
Receive, screen and refer a wide variety of visitors and contractors to the appropriate persons in the hospital.
Contact vendors about warranty work and repairs/improvements needed and communicate with contractors regarding the delivery and receiving of construction materials.
Communicate with members of the medical staff and management staff to exchange information and schedule meetings.
Maintain vendor and accurate equipment records. Sort and distribute mail in a timely manner.
Train maintenance personnel in the proper use of the CMMS database and schedule education training for the Engineering Department.
Coordinate storage requests and purging of Riverview Health's file room.
Format and assemble policy handbooks and create and distribute scheduled or requested reports.
Other duties as assigned.
Education Requirements Minimum: High School diploma or equivalent
Preferred: Associates degree or certification in office management, business management, business administration, communications, or equivalent
Experience Requirements
Minimum: Two (2) years of experience in the following areas Computerized Maintenance Management System software
Maintenance planning and scheduling
Work Order organization and tracking
Industrial or commercial office management
Documentation review & filing
Preferred: Five (5) years of experience in the areas listed above. Plus, experience in the following areas: Computerized Maintenance Management System software database transition and set-up
Project planning
Code Compliance Documentation
License/Certification Requirements Minimum: None Required
