The Administrative/Secretary Assistant will provide comprehensive administrative and clerical support to ensure the smooth and efficient functioning of the office. This role involves a variety of tasks including managing schedules, handling correspondence, organizing files, and coordinating meetings. The ideal candidate will be highly organized, possess excellent communication skills, and be capable of multitasking in a fast-paced environment.
Responsibilities:
Administrative Support: Perform general administrative duties including answering phones, managing emails, and maintaining office supplies.
Scheduling: Coordinate and manage appointments, meetings, and conferences. Maintain calendars and schedules for senior staff.
Documentation: Prepare, format, and edit documents, reports, and presentations. Handle confidential information with discretion.
Correspondence: Draft, proofread, and distribute emails, memos, letters, and other communication materials.
Filing and Records Management: Maintain electronic and paper filing systems. Ensure documents are properly organized and easily accessible.
Data Entry: Input and update data accurately in databases and spreadsheets.
Customer Service: Greet and assist visitors, and provide information and support as needed.
Project Assistance: Support various projects and initiatives as directed by management.
Qualifications: Experience: Proven experience as an administrative assistant, secretary, or relevant role.
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to multitask and prioritize tasks effectively
Attention to detail and problem-solving skills
