Scion Nonprofit has been engaged to conduct an immediate search for a hands-on Vice President of Finance and Operations (VP) for a global nonprofit dedicated to enhancing the lives of children with critical illnesses. This incredible opportunity can make a real impact on the strategic operations of this fantastic organization. This full-time position is for immediate hire and offers $130,000-$140,000 per year DOE, a hybrid schedule (3 days onsite/2 remote), and a robust benefits package in Oakland, CA.

The Role : Reporting to the CEO, the VP is responsible for oversight of the business functions of the Oakland office. The VP will oversee a $5.2 M budget in partnership with Corporate Shared Financial Services (SFS). The VP will oversee the organization's overall management in collaboration with the CEO. This individual is not only a proficient project and people manager but also a master problem solver, capable of navigating the organization's macro and micro aspects. Key areas of oversight encompass human resources (with support from Insperity), business operations (including database and IT), finance/accounting, and volunteer management.

Finance

The VP will have strong financial acumen, including forecasting, cash flow, budgets, and modeling. In partnership with leadership and the Board to develop long-term strategic financial planning, budget forecasting, and cash flow management.

Produce and manage the annual operations budget of $5.2 million, including staff compensation strategies and benchmarking.

Produce a monthly finance memo following receipt of monthly financials from the national office, including commentary provided by the Senior Team for review and approval by the CEO.

Review and approve expense reports.

Oversee all accounting functions and review monthly, quarterly, and annual reports.

A/P, A/R, deposits, and reconciliations performed by SFS.

Support SFS in the preparation of the fiscal annual audit and Form 990.

Ensure compliance with all policies, performance standards, internal controls relating to accounting/legal, cash management, investments, and all state, local, and federal regulations.

Primary staff liaison with bank and investment managers.

Monitor banking and investments to ensure adequate coverage.

Serve as the primary contact for SFS regardingfinancial matters.

People

Serve as the HR lead for the Oakland office with support from Insperity, our PEO.

Handle employee relations, counseling, performance plans, exit interviews, terminations, furloughs, and reduction in force.

Manage payroll and administration of 401k.

Work with outside/pro bono support (i.e., labor attorney) regarding complex staffing matters as needed.

Oversee new employee onboarding.

Maintain Human Resource Files in accordance with all federal and state regulations and organizational compliance.

Develop and implement personnel policies and procedures; work with Insperity to prepare and maintain employee handbook and policies and procedures manual.

Lead and participate in the annual review process with the CEO and supervisors for all employees, including compensation adjustments supported by budget and business plan.

Responsible for benefits administration with support from Insperity, facilitating open enrollment and benefits meetings, and communicating changes.

Lead the recruitment and hiring of staff and paid interns.

Work with the CEO and hiring managers on developing job announcements, as supported by the annual budget and business plan.

Post jobs, review candidates, conduct initial phone interviews, coordinate interview process with hiring managers, and conduct reference checks.

Negotiate terms of employment, with CEO approval, and extend offers.

Lead internal communication with staff on job postings, new hires, policy changes, reminders of activities, deadlines, etc.

Work with internal task forces to support annual staff retreat, staff engagement, recognition, diversity, equity, and inclusion work.

Supervise and support the operations and finance Manager working with MAWA IT to create users, set up new hire workstations, assist with home workspace needs, and train on MAW technology.

Supervise and support the Senior Volunteer Manager, who is responsible for a program with over 800 volunteers.

Operations

Partner with executive leadership in executing strategic initiatives.

Responsible for continuous improvement, developing improved processes, procedures, and internal controls.

Lead staff for building management, office space leases

Review and approve contracts and agreements outlined in the chapters Obligational Authority.

Manage insurance policies, COI requests, claims, and procedures.

Supervise and support the data and analytics team.

Requirements

10+ years of related work experience.

3+ years in a leadership role.

Nonprofit experience.

BA or equivalent.

Extremely well-organized.

Ability to meet deadlines and maintain composure in challenging situations.

Excellent written and verbal communication with prompt follow-through.

Ability to manage complex projects from inception to completion, including data collection and analysis.

PC literate Effective presentation skills, Microsoft Office Suite, SharePoint.

NetSuite and Salesforce experience are a plus.

Access to transportation for occasional travel as needed within surrounding counties.
