We are looking for a Receptionist and Office Assistant to manage our front desk on a daily basis and to perform a variety of administrative, word processing and clerical tasks.
As a Receptionist and Office Assistant, you will be the first point of contact for the firm. Duties will include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
To be successful as a Receptionist and Office Assistant, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner while streamlining office operations. Multitasking and stress management skills are essential for this position.
Responsibilities:
Greet and welcome clients and guests as soon as they arrive at the office, and interface clearly and professionally with internal personnel about visitors
Direct visitors to the appropriate person and office
Answer, screen, and forward incoming phone calls
Ensure reception area, break room, and conference room are tidy and presentable, with all supplies and material (e.g. pens, legal pads, water, etc.)
Order front office supplies and keep an inventory of supplies
Interface with attorneys to ensure they have items they need to assist their practice
Update calendars and schedule meetings
Check Mail Daily and send Daily Mail Summary
Arrange for couriers and deliveries
Perform other clerical duties such as filing, photocopying, transcribing, organizing, document formatting, and finalizing and sending correspondence via U.S. Mail or Federal Express
Schedule restaurant, hotel and travel reservations for attorneys
Interface with property management regarding maintenance requests and building communications
Process parking validations Occasional clean-up after meetings and social gatherings
Unloading dishwasher and occasional clean out of office refrigerator
Ensure kitchen area is clean and tidy and order and order and replenish snacks
Coordinate lunch orders and items for periodic firm gatherings
Requirements
Proficiency in Microsoft Office Suite, particularly Word
Professional attitude and appearance
Excellent attention to Detail
Solid written and verbal communication skills
Ability to be resourceful and proactive
Multitasking and time-management skills, with the ability to prioritize tasks
