GAP Solutions Inc Program Specialist Bethesda , Maryland Apply Now Position Objective: Provide services as a Program Specialist in support of the overall functions of the Cell and Developmental Biology Center (CDBC) for the Division of Intramural Research (DIR) National Heart, Lung, and Blood Institute (NHLBI)/National Institutes of Health (NIH) in Bethesda, MD. This position serves on a team that supports all of the administrative needs of the CDBC, which is a collection of labs, lead investigators, and researchers.

Duties and Responsibilities:

Work harmoniously with administrative staff across the NHLBI and with those who support the operations of this specific branch; report to and receive guidance from the CDBC supervisory staff assistant.

Build travel itineraries for the researchers and visiting guests as needed; prepare all documents related to local, domestic, and outside activity travel.

Prepare personnel packages and support in developing/maintaining checklists for appointments and renewals of personnel in the lab and obtain required documentation (i.e., immigration paperwork, degree, reference letters, etc.).

Provide office management through processing equipment and supply order requests using the POTS [purchasing online tracking system].

Provide office management support by processing equipment and supply order requests, serving as the point of contact in the administration of all maintenance contracts for office equipment.

Schedule, organize, and craft agendas/presentations/handouts for collaborative meetings, as needed.

Organize, maintain, and update physical and electronic files; ensure that all files are easily accessible and understandable to others.

Assist in coordinating special projects and meetings on behalf of senior leaders within the NHLBI.

Keep current on federal operational policies and procedures; build new and update current Standard Operating Procedures (SOPs) to reflect process changes.

Other duties on behalf of the DIR, as assigned.

Basic Qualifications:

Bachelor’s degree in a related field with at least 4 years’ relevant work experience or 2 years’ relevant work experience with a master’s degree in a related field.

Minimum Qualifications:

Ability to communicate effectively, orally and in writing, with non-technical and technical staff.

Detail-oriented and possess strong organizational skills with the ability to prioritize multiple tasks and projects.

Strong critical thinking and creative problem-solving skills.

Resilient personality with a high level of social skills to deal effectively and persuasively at all levels of an organization.

Ability to multitask and manage time in a dynamic work environment.
