Project Coordinator II
Location: Seattle, WA (Hybrid 3 days on-site)
Schedule: Mon-Fri, 40 hours per week
Start Date: July 2024
Contract Duration: 5 months (possible extension)
Pay Rate: $30.40/hr
Summary:
This position reports to the Project Team Manager. A Project Coordinator thrives in a fun and fast-paced environment, this position requires heavy phone and e-mail communication with customers, utilizing a wide variety of software tools to navigate customer accounts, research and review policies, and identify and communicate effective solutions. The Project Coordinator will work within a team environment as well as communicate internally with other departments.
Basic Qualifications
• 1+ years customer service experience
• Experience working with high-volume processes
• Working knowledge of Microsoft Office Applications
• Ability to work weekends and overtime as required
Preferred Qualifications
• Bachelor's degree preferred
• Aptitude to quickly learn new systems and software
• Ability to multi-task & prioritize, with strong organizational and follow-up skills
• Excellent oral and written communication skills
Key Projects: Audit coordination
Budget Management Product Manufacturing and:
* Forecast the planned internal audits in the product manufacturing space and provide budget estimates to stakeholders.
* Manage the product manufacturing AMA purchase orders (Up to 7 POs per BU) and track the budget on a quarterly basis.
* Analyze budget trends and identify opportunities for optimization.
* Ensure timely budgeting and payment of industry association dues.
Escalations Management:
* Track program related customer issues through tickets and identify root causes.
* Ensure the development and implementation of Corrective and Preventive Actions (CAPA) to address identified gaps.
* Maintain visibility on the status of escalations and drive timely resolution.
* Manage AMA related tickets, and stakeholder escalations
Standard Operating Procedure (SOP) Development:
* Develop SOPs applicable to internal-managed audits.
* Manage the change management process and obtain approvals from multiple stakeholders.
* Publish and maintain the SOPs, ensuring they remain up-to-date.
* Work directly with GSRC management to drive process improvement
Typical Tasks:
• Provide members with a personalized creative experience
• Work intimately with members and coordinate the entire lifecycle of their projects
• Provide stellar customer satisfaction at all times
• Partnering with Publishing teams to ensure that members enrolled in the proper service package
• Working internally with other departments to ensure that a quality product is delivered in a timely manner
• Using a wide variety of software systems to navigate customer accounts and proactively monitoring accounts to anticipate problems before they occur
• Meeting all performance and quality metrics
• Initiating process improvement projects within the department and driving them through to completion
