We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Chief Executive Officer & Co-Founder, Chief Technology Officer & Co-Founder, and Chief Product Officer. The ideal candidate will be adept at managing complex schedules, coordinating travel arrangements, handling expenses, and assisting with ad hoc projects. You will also play a key role in facilitating recruiting scheduling and other administrative tasks. Your ability to anticipate needs, multitask, and maintain a high level of confidentiality will be critical to your success in this role.

What you'll be doing

Calendar Management:

Coordinate and manage the busy calendars of the CEO, CTO, and Chief Product Officer.

Schedule and confirm meetings, ensuring all necessary preparations are made.

Resolve scheduling conflicts and prioritize commitments.

Travel Coordination:

Arrange and manage detailed travel plans, itineraries, and agendas using Google Email and Ramp.

Handle all travel logistics including flight bookings, hotel accommodations, transportation, and other travel-related activities.

Ensure all travel arrangements are efficient and cost-effective.

Expense Management:

Process and manage expense reports for the executives using Ramp.

Monitor and reconcile expenses to ensure accuracy and compliance with company policies.

Prepare and submit expense reports in a timely manner.

Recruiting Support:

Assist with scheduling interviews and coordinating recruiting efforts.

Communicate with candidates and hiring managers to ensure a seamless interview process.

Maintain accurate records of candidate interactions and interview schedules.

Ad Hoc Projects:

Provide support for special projects as needed, ensuring timely and successful completion.

Conduct research, compile data, and prepare reports as requested by the executives.

Board Meeting, Leadership & Townhall Coordination:

Schedule and coordinate board and leadership meetings, ensuring all participants are informed and prepared.

Arrange logistical details such as venue, catering, and AV equipment.

Dinner and Event Planning:

Plan and coordinate executive dinners and other events.

Handle all arrangements including venue selection, menu planning, and guest invitations.

Ensure events run smoothly and address any issues that arise.

General Administrative Support:

Coordinating with another Executive Assistant and the CEO's Chief of Staff & CPO and CTO's Chief of Staff.

Handle confidential information with discretion and professionalism.

Act as a liaison between the executives and internal/external stakeholders.

Manage and organize emails, correspondence, and other communications.

Who we're looking for

Bachelor's degree or equivalent experience preferred.

Minimum of 5+ years of experience as an Executive Assistant or in a similar role.

Proficiency in Slack, Google Workspace (Gmail, Calendar, Docs, Sheets, etc.) and experience with Ramp for travel and expense management.

Strong organizational skills with a keen attention to detail.

Excellent communication and interpersonal skills.

Ability to manage multiple priorities and adapt to changing demands.

High level of integrity and discretion in handling confidential information.

Proactive and resourceful with strong problem-solving abilities.

The following range is based on the scoped level within the organization and only for highly targeted geographies: $110-125K
