The Hotel at the University of Maryland (The Hotel) is a AAA 4-Diamond independent property located directly across the street from the main campus of the University of Maryland. WHAT WE ARE LOOKING FOR:
The Sales Coordinator works closely with other hotel departments to facilitate services agreed upon by the sales office and prospective clients. Ensures proper collection of funds for the events, both directly with the client and with our accounting team. Acts as liaison between client and operating departments to ensure a successful event and to generate repeat business.
WHAT WE EXPECT FROM YOU:
Work closely with other hotel departments to facilitate services agreed upon by the sales office and prospective clients
Setting up and maintaining files; keep all files in an organized format
Clerical work pertaining to the Sales and Catering Dept. -- including creating gift certificates, creating group/catering resumes, create the weekly sales schedule
Answering telephones, emails and email RFP's, questions, and direct calls to the appropriate person or take messages
Merging and editing agreements,
Provide information on hotel; give site inspections
Assist with the production of monthly sales-related reports
Ensure proper collection of funds for the events, both directly with the client and with our accounting team
Acts as liaison between client and operating departments to ensure a successful event and to generate repeat business
Acknowledge all guests and respond promptly to their needs
Familiarity with all hotel services/features and local attractions/activities to respond to guest inquiries accurately
Assist clients with guest room blocks or meeting room rental space
Contribute to the team's success by accomplishing tasks and assisting with projects as needed
Maintain knowledge and compliance with departmental policies, service procedures, and
standards
Work as a team member to ensure our guests have the best possible experience
Understand company's emergency procedures and be able to apply them when necessary
Report any incidents, property damage or injuries immediately to Manager/Supervisor
Attend department meetings and training sessions as necessary
Support Southern Management's Mission, Vision, and Values
Comply with Southern Management's policies and procedures
Ability to prep Show Rooms -- confirm readiness, turn on lights, radio, tv etc...
Distribute fully executed contracts to internal and external audiences as needed
Record and distribute weekly staff meeting minutes
Work with Accounting Department on Deposits
Create Monthly tracking forms and distributes
Acknowledge all guests and respond promptly to their needs
Contribute to the team's success by accomplishing tasks and assisting with projects as needed
Availability during peak operating times, i.e.: Weekends, Holidays and Special Events
Support Southern Management's Mission, Vision, and Values
Comply with all Southern Management's policies and procedures
Perform various other duties as assigned by Manager and/or Supervisor
Other duties as assigned by Manager and/or Supervisor
JOB KNOWLEDGE & SKILLS: Excellent written and verbal communication skills
Compute basic arithmetic and mathematical calculations
Organized and detail-oriented
Excellent interpersonal skills
Ability to work effectively in stressful, high-pressure situations while maintaining composure and guest satisfaction
Technical knowledge and competency in necessary systems and software:

What's required from you:
1 year of demonstrated administrative experience (experience in a hospitality environment preferred)
High School Diploma or equivalent required
Full efficiency with Microsoft Office
