Administrative AssistantProvides full spectrum administrative support to the Executive Team ensuring efficient office operations that will ensure effective and timely services to Casa Esperanza Montessori Charter School, including matters of a confidential nature.Minimum Qualifications:Bachelor's degree or equivalent from two-year college or technical school and two years' related experience and/or training or equivalent combination of education and experiences preferred.3-5+ years of progressively responsible secretarial experience preferably in the education setting.Ability to work harmoniously with others and to communicate effectively (both orally and in writing) with a diversity of public and district personnel using tact, courtesy, and good judgment.Ability to maintain the confidentiality of sensitive and confidential information related to personnel issues, grievances, arbitrations, collective bargaining, and legal matters affecting the district.Communicate exceptionally well with a service-oriented operating style with experience in conflict resolution and solution-based problem solving.Ability to successfully coordinate a variety of difficult, technical administrative functions at a level requiring independent decision-making within established rules, policies and procedures.Ability to learn, apply, and explain in detail the district policies and procedures in performing duties.Ability to respond to common inquiries or complaints from parents, staff or members of the community directly and on behalf of the Superintendent.Ability to appropriately communicate with diverse staff and others including vendors and agencies.Duties and Responsibilities:Plan out the timeline for the year's application/lottery process with the leadership teamManage enrollment process, including lottery, marketing of CEMCS to public, and application processReview application and enrollment paperwork and make necessary changes as suggested or required by federal, state, and local regulationsComplete annual onboarding for all new and returning students/families including paperwork assistance, providing information about the school, and other family needsFulfill new enrolling student records requestsMaintain relevant data systemsCoordinate open houses and welcome new families to ICSOrganize quarterly parent and family engagement activitiesMaintain updated information on school website, including Google calendarSupport school administration with family communications, news, and announcementsUpdate and distribute Family Handbook annuallyAdditional duties as assignedQualifications:Ability to relate to a diverse population of students and parents a mustProficiency in computer skills including: student information systems, content management systems, email marketing tools, Google Suite, Microsoft Word and Excel, and ability to learn new programs/software quicklyProven experience organizing and prioritizing workAbility to handle requests and inquiries and respond within a timely mannerHigh attention to detailHighest ethical standardsDemonstrated professionalism and responsibility, and a strong work ethicA positive, high-energy attitude, and a drive for personal excellenceFlexible attitude, ability to work with urgencyStrong problem solving and strategic thinking skillsWillingness and desire to participate in unexpected projectsAbility to work some evening hoursEducation & Experience:Bachelor's Degree requiredThree to five years administrative assistant experience preferredExperience working in a school a plus
