The Inventory Specialist is responsible for owning and executing the receiving, shipping, and inventory management of all parts, supplies, and materials needed for projects with our customers in the healthcare, education, biotech, and manufacturing industries. This position plays a critical role in our ability to deliver quality service to our customers.
Receiving
Receive and open shipments of parts from suppliers
Document and track parts arrival to ensure accuracy of delivery and inventory
Communicate with Procurement Analyst when incorrect parts or quantities arrive
Pull parts and materials requested for projects
Accurately and efficiently stage parts for projects
Receive tool pallets and shipments of supplies being returned from jobs (with the assistance of Engineering)
Shipping
Understand the intricacies of a job site logistics to ensure a successful delivery
Proactively coordinate with Logistics, Engineering, and Field Technicians on where and when to ship pallets
Ensure the security of pallets delivered and accessibility of pallets by Field Technicians
Ship parts to Field Technicians or job sites, and communicate tracking information to them
Address issues that arise when parts/pallets do not arrive on time, get lost, or get stuck in transit; ensure deliveries are made
Ensure shipping estimates are available to Accounting and answer questions related to shipping invoices
Understand shipping regulations
Create and maintain relationships with carriers
Inventory Management
Manage and maintain inventory system and organization of the warehouse
Maintain the overall organization of the warehouse
Regularly perform cycle counts and identify parts that need to be restocked
Maintain inventory in company vans and ensure they are full stocked
Track parts coming into and leaving inventory
Conduct annual inventory audits
Additional Responsibilities
Cross train with Procurement Analyst on ordering parts and materials for projects
Drive parts to local projects if needed
Ensure the processes/procedures/methods you are using are documented, reliable and maintainable
Create and maintain Salesforce reports and dashboards
Qualifications
Experience working in an environment with quality management practices
Experience in shipping, receiving, or inventory management is a plus
Comfortable with technology (MS Office, Salesforce, or another CRM)
Strong attention to detail and organizational skills
Ability to follow workflows and processes while driving efficiency
Ability to lift 50 pounds
Willingness to commute to Woburn daily (this is not a remote position)
