POSITION SUMMARY:
The primary role of the Director of Administrative Services is to supervise administrative operations across three distinct regions. This includes but is not limited to managing customer service, dispatch operations, invoicing, end-of-month tasks, contract renewals and ensuring timely delivery of client commitments.
EDUCATION AND EXPERIENCE:
Minimum bachelor's degree or five to seven years of related work experience, or equivalent combination of education and experience.
REQUIRED CERTIFICATES, LICENSES & REGISTRATIONS:
Valid driver's license and clean driving record and background check.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Operational Leadership: Provide strategic direction to dispatch, ensuring the consistent surpassing of customer expectations and commitments. Oversee the daily management of the Service Coordinators, Billing Specialist and Account Coordinators.
Customer Relationship Management: Address customer complaints promptly, ensuring swift resolution to maintain enduring, positive relationships.
Project Coordination: Demonstrate adept leadership in efficiently coordinating multiple projects simultaneously.
Market Insight: Acquire a comprehensive understanding of the customer base and those customers' requirements. Establishes and maintains an in-depth knowledge of the industry and competitive practices as they relate to multiple markets.
Customer Engagement: Participate in various customer meetings, including customer care calls, sales meetings and PM/project turnover meetings, as needed.
Inter-Region Collaboration: Maintain proactive communication with other Regions, fostering positive and supportive relationships. Ensure that interactions with customers and team members are conducted with a focus on trust-building and efficient problem resolution.
Team Development: Provide training to associates in their job duties and company policies as required.
Collaboration with Leadership: Collaborate closely with the VP of Service Administration and VP of Operations to ensure the smooth execution of daily operations.
Process Improvement: Drive monthly, quarterly, and annual process enhancements to optimize operational efficiency.
Month-End Management: Oversee the Month-End reporting process and ensure the accurate and timely submission of month-end documentation to the Support Group.
Financial Analysis: Analyze profitability reports for use during Scoreboard Meetings, including monthly status reports on Maintenance and Service margins for the Service Managers and VP of Operations. Identify areas requiring corrective action or response.
Recruitment: Participate in recruiting, interviewing, and selecting new associates.
Facility Management: Maintain a professional and well-maintained office environment that reflects and enhances the company's culture, ensuring safety and security.
Workplace Morale: Advocate for Rapid Improvement Plans, associate surveys, and morale-boosting activities to create an exceptional workplace.
Associate Engagement: Organize associate functions to express appreciation for their hard work, fostering Air Force One as a Best Place to Work.
Team Communication: Facilitates weekly/bi-weekly individual or team touch bases, fostering effective relationships within and outside the team.
Additional Responsibilities: Undertake other duties as assigned to contribute to the overall success of the organization.
