Following the guidance of the Marketing department leadership, the Marketing Specialist I is responsible for the execution and delivery of all enterprise-wide marketing and communication projects.
The Marketing Specialist I will arrange for the creative development and production processes and assist with financial processes and vendor communication. The Marketing Specialist I position ensures all projects are entered in the Workfront system and regularly updates and communicates the status of projects to marketing leadership and internal and external clients.
1. Review and evaluate marketing department project requests from IEHP business units to determine scope of request which can vary from ad hoc to complex campaigns, then gather additional information from marketing management and project client to schedule brainstorm meetings to include but not limited to: department representatives, writers, designers, and others as needed.
2. Compile all required elements, arrange for translation into threshold languages, ensure SMOG and QA of all written content are complete and documented, to include but not limited to mailing lists, data lists for texting (SMS) and/or other needed support pieces.
3. Track all campaigns and projects using online project management software from initiation to final delivery, mailing or launch and provide regular updates on project status to clients and Marketing management, as well as update communication plans for campaigns as project status changes.
4. Participate in cross-departmental workgroups for various IEHP initiatives to ensure Marketing deliverables are understood and on track.
5. Administer the procurement process for all marketing and/or social media, texting (SMS), email, media, public relations or internal projects to include: submitting POs, change orders, single source intake forms, process invoices for approval, update department budget, and process all project bids in Oracle.
6. Prepare all required reports and correspondence for various staff personnel using Workfront reporting tool.
7. Coordinate councils and committees by scheduling, providing an agenda and minute distribution, and coordinating a member advisory group (PPPC) with Marketing Specialist II if required.
8. Review production of collateral and signage for IEHP events and participate in walk-throughs with facilities and event leads.
9. Provide department administrative support as requested, to include but not limited to assisting with onboarding and training of new hires.
Key Responsibilities:
ADDENDUM
COMMUNICATIONS :
1. Arrange for the creative development and production processes for all print and mailing projects, advertising collateral, promotional items, collateral for IEHP events, such as the Public Policy Participation Committee (PPPC) meetings, media buys.
2. Organize complex regulatory Member mailings, including Member letters for all lines of business.
3. Coordinate delivery of electronic files to print vendors, including preparing RFQ and arranging for financial approval, while ensuring with vendor the on time and accurate delivery and inventory maintenance, if needed.
4. Source and recommend promotional items for IEHP business units, create promo decks, arrange for delivery of product samples, request artwork, obtain approvals, submit RFQ to promotional item vendors, award vendor, and arrange for delivery and storage of promotional items.
5. Prepare, coordinate, and track the traffic instructions for all mass media advertisements including radio, television, billboards, and print, including working with media buying agency and Marketing management to identify appropriate media buys for each campaign.
MARKETING :
1. Coordinate and provide support for all social media, internal communications, texting, email and media/public relations projects.
2. Organize complex texting, internal communications, media/public relations, and email campaigns for all lines of business.
3. Coordinate delivery of electronic files to texting team, email team and assist in preparing reports and analysis, as needed.
4. Assist in monitoring social media and texting responses and coordination of reporting metrics, if needed.
BRAND DESIGN AND EXPERIENCE:
1. Provide Workfront intake and project tracking for design and web requests.

Qualifications:
Education & Experience
High school diploma or GED required.
A minimum of three (3) years of experience in customer service or related field.
Experience with business financial processes and procedures.
Key Qualifications
Knowledge of print production process and requirements, knowledge of business financial processes, familiarity with health plan regulatory requirements preferred.
Strong verbal and written communication skills.
Exceptional organization skills, proficiency in Microsoft Office Suite, Power Point, project management software, Adobe Acrobat Pro.
Excellent customer service skills.

Pay Range:
USD $23.98 - USD $30.57 /Hr.
