Summary: The Transportation Coordinator provides support to the department in the areas of hiring, onboarding, scheduling, training, and other transportation administrative tasks as well as providing support and guidance to the transportation employees within her areas of responsibility and expertise as per the below outlined essential functions of the job.
Schedule : Monday - Friday 9:00 AM - 5:00 PM (40 hours)
Essential Duties and Responsibilities:
Assist supervisor with managing, updating, and communicating route schedule changes to dispatchers, drivers, individuals, families, programs, and residences.
Interact with patience and sensitivity in all contact with drivers, individuals, family members, staff, and others.
Provide support in managing and supervising all transportation routes.
Assist supervisor in establishing staff schedules.
Assist Transportation/Fleet Manager with scheduling/conducting interviews and making hiring decisions as well as supervising transportation employees.
Coordinate new hire and post-accident drug screenings with the Human Resources department.
Assist Transportation/Fleet Manager with training new employees in vendor-required New Employee Transportation Orientation and Guidelines.
Manage and update employee contact information, and forward information to Human Resources.
Keep track of time off requests and time off the calendar and provide information to the Transportation/Fleet Manager for processing and approval in ePay.
Keep track of daily payroll time entry changes/updates and provide information to the Transportation/Fleet Manager for processing and approval in ePay.
Provide support as needed to the Transportation/Fleet Manager during weekly payroll submission through ePay.
Know all transportation routes and provide backup driving and monitoring when necessary.
Assess route problems including medical and behavioral issues during transport and work with others to develop support plans in the absence of the Transportation/Fleet Manager.
Ensure that all incident and accident reports are complete and submitted promptly.
Ensure transportation department staff maintains all certifications through proactive planning and scheduling for training attendance.
Provide backup support to the supervisor for submission of transportation billing.
Maintain all required certifications.
Other duties as assigned.
Required Education/Experience:
A High School Diploma is required. Bachelor's Degree is preferred.
Minimum one-year office experience in a fast-paced environment.
Experience with recruitment cycle, payroll, office administration, and scheduling necessary.
Must be 19 years of age or older based on MART's requirements.
Must have at least t 3 years of driving experience.
Must have a valid MA driver's license and comply with the Driver Eligibility Policy.
Must have prior management experience, preferably in transportation services.
Required Skills/Knowledge:
Previous experience working with individuals with disabilities is preferred.
Ability to interact with patience and sensitivity in all contact with individuals, staff, parents, and other stakeholders.
Proven ability to drive a 12-passenger van, drive a handicap van, and operate a wheelchair lift.
Ability to multi-task and prioritize.
Must be able to demonstrate strong leadership and training skills.
Working knowledge of Microsoft Office programs.
Required Background Check:
A CORI background check will be conducted. A verbal offer of employment is contingent upon CORI results.
An RMV record check will be conducted. A verbal offer of employment is contingent upon results.
A SORI record check will be conducted. A verbal offer of employment is contingent upon SORI results.
A Drug Screen must be conducted within 24 hours of a successful interview and a verbal offer of employment is contingent upon the results.
Physical Demands:
The physical demands of staff working in transportation are varied and require the employee to be able to maneuver people of varying weights and provide lifting, balance support, and physical intervention in several scenarios.
Described below are essential requirements of staff to ensure the safety of employees and persons served alike. Reasonable accommodations may be made to enable a person with a disability to perform the essential functions; however, approval will be based on the needs of the persons served.
While performing the duties of this job, the employee is required to be able to climb stairs, physically assist persons served, often weighing more than 200 pounds with movement, getting into and out of wheelchairs or handling assists that include getting into and out of a vehicle/van.
The employee must have a normal range of eyesight with or without corrective lenses and a normal range of hearing with or without corrective equipment.
Must be able to drive a 12-passenger and wheelchair-accessible van.
Must be able to climb in and out of vehicles.
