What you will be doing This role will support the HVMG Design & Construction/Operational teams by providing analytical and administrative support in planning, implementing and monitoring Property Improvement Plans (PIP's), Capital Projects and New Build Developments. This role will also:
Support the HVMG Design & Construction team in the execution of D& C projects, due diligence tasks and project estimates.
Provide administrative support to the Operations leadership team in planning, scheduling, and implementing Operational assignments and projects.
Additional Responsibilities
Renovation & New Build Activities
Update budgets as new proposals/bids are received for PIP or new development budgets
Coordinate with Project Managers to update and verify project budget forecasts
Process, track and approve invoices through the accounting platform
Become proficient in Rivur (HVMG’s customized web-based portal for processing invoices, contracts, pay applications, etc…) to utilize Rivur’s reporting tools to meet Owner requests for information
Manage and maintain budget versions during value engineering exercises
Source final quotes and process invoices through Rivur
Update the cost allocation of purchase orders (PO’s) within budgets, verify forecasted value and update as needed
Assemble and submit funding requests as required by lenders for funding. Review loan documents to determine lender requirements and create funding requests that meet all lender guidelines
Work with vendors and consultants to ensure accurate pricing, payment requirements are understood, negotiate payment terms as needed, obtain lien waivers, W-9’s & COI’s and monitor payment due dates
Provide support as needed in helping to create and edit all Agreement Documents to include, but not limited to, AIA General Contractor Agreement, Contractor’s Consent, AIA Design/Consultant Agreement, Architects Consent, Purchasing Agreement and Project Management Agreement. Assemble all exhibits for final contract execution. Distribute contracts to required stakeholder and lenders as needed.
Complete the Construction in Progress (CIP) reclasses for PIP once the budget is closed out to move to fixed asset additions.
Identify & adhere to state sales/use tax requirements
Confirm Payment Application formats submitted by General Contractors are received in accordance with contract and lender requirements by confirming Project Manager approval of work tracked as complete, confirming accurate contract, change order, and retainage values, and routing for Architect approvals as needed.
Update and track Change Order Logs and route for signatures
Participate in team meetings/conference calls to provide project status updates and supporting information as needed.
Assist with monthly reporting to owners and lenders
Analysis/Reporting
Process Concur expense report approvals for all capex, renovations and D&C team expense reports
Monthly HV Purchasing Fees and forecasting: Recalculate fees as needed if schedules have been revised, create invoices in excel, process against applicable budgets, post in M3, track as AP, submit in pending funding request, pay once funding is received, update forecast to show invoiced vs. paid status
Forecast project cash/funding needs (pre-project) to ensure timely processing of capital/renovation invoices
Reserve Forecasting as Needed: Find current capital reserve balance in M3, Pull (or request) revenue information from Profit Sword, combine information, compare to forecasted capital expenses on a monthly or yearly basis to forecast total capital reserve balance
Identify & adhere to state sales/use tax requirements. Regional controllers to assist as needed.
Utilize accounting system for basic entries:
Posting capital invoices for payment
Monitoring balance of capital funding available
Support Audit Requests & depreciation schedule requests when necessary (organize back-up invoices &/or summarize capital General Ledger activity)
Provide reporting to accounting for check request/funding request
Additional ad hoc analysis and reporting as needed
Education & Experience
Bachelor’s Degree from a four-year college or university with a degree in business/related field or commensurate experience
Corporate and/or Regional Hospitality Experience, Required.
Construction Industry Experience, Highly Preferred.
