JOB OVERVIEW

We are seeking a detail-oriented Senior Order Specialist to oversee and manage specialized order projects within our organization. This role involves meticulous processing of technical orders and performing comprehensive audits to ensure accuracy and quality of outcomes. The ideal candidate should possess strong organizational skills, a keen eye for detail, and the ability to collaborate effectively with cross-functional teams.

KEY RESPONSIBILITIES - ESSENTIAL FUNCTIONS

Process and manage specialized order projects from initiation to completion, ensuring adherence to established procedures and timelines. This includes bulk orders, order changes and order cancellations.

Collaborate with various departments to gather necessary technical specifications and requirements for each order.

Execute thorough audits on completed orders to verify accuracy, completeness, and compliance with standards and specifications.

Identify discrepancies, inconsistencies, or errors in orders and collaborate with relevant teams to rectify issues promptly.

Maintain accurate documentation and records of all orders, audits, and related processes.

Communicate effectively with stakeholders to provide updates on project statuses, audit findings, and any issues that may arise during processing.

Continuously evaluate and suggest improvements to streamline order processing workflows and enhance efficiency.

Stay updated on industry standards, regulations, and best practices related to specialized orders and incorporate them into processes as needed.

Create SOP's and training materials for custom business processes and audits.

LEADERSHIP RESPONSIBILITIES

No direct leadership responsibilities but will be working closely with the rest of the team to manage ordering projects.

COMPETENCIES Technical proficiency: High aptitude for learning and utilizing computers and different types of software. Intermediate to advanced Excel skills are a must have.

QUALIFICATIONS Bachelor's degree in a relevant field or equivalent work experience

3 years of proven experience in a technical or order processing role, preferably within a related industry.

Strong analytical skills with the ability to meticulously review technical documentation and identify discrepancies.

Excellent organizational and time management skills to handle multiple projects simultaneously.

Proficiency in using relevant software tools and systems for order processing and auditing. This includes the New Order Management System, other enterprise systems and intermediate to advanced Excel skills.

Exceptional attention to detail and a commitment to maintaining high-quality standards.

Strong communication skills to collaborate effectively with cross-functional teams and stakeholders.

Ability to work independently and as part of a team in a fast-paced environment.

JOB SPECIFICATIONS, PHYSICAL DEMANDS & WORK ENVIRONMENT

Work Environment : Hybrid work environment requires a minimum of three days a week in office.
