Job Description Job Description The Assistant Director is responsible for executing all administrative duties, and executing the Foundation’s policies and procedures under the supervision of the Exec. Director. Other essential responsibilities include fundraising, marketing/social media, and community outreach.
The mission of the Foundation is to aid and educate individuals and families on substance use disorders and help those who are battling the disease of addiction. Our core values are honesty, integrity, accountability, community, compassion, and altruism.
Reporting : This position reports administratively to the Executive Director
Detailed Responsibilities :
· Work with the House Directors regarding day to day operations.
· Oversee distribution of personnel-related materials, maintain records, schedule background checks, and random drug and alcohol testing of staff as needed. Oversee bi-weekly payroll and keep vacation/time off records.
· Work closely with House Directors to maintain the occupancy/utilization of houses.
· Work closely with House Directors to adhere to all rent / Scholarship payment and collection procedures.
· Adhere to credit card procedures and submit a monthly expense report along with all associated documentation in a timely manner. Work closely with the bookkeeper to ensure bills are being paid promptly.
· Work cooperatively with House Directors to oversee/control house expenses, maintain sufficient supplies, and place orders on time.
· Help implementation of Strategic Plan.
· Assist with reporting of monthly financials
· Establish and maintain relationships with various organizations and utilize those relationships to enhance the Foundation’s mission strategically.
· Engage in fundraising and developing other sources of revenue, and submit required reports as necessary. Maintain foundation donor database.
· Oversee marketing and other communication efforts, including social media and website.
· Assist with administrative and operational policies and procedures for staff. Work closely with house directors for policies and procedures relating to the houses & help maintain MASH certification.
· Other duties as assigned by the Executive Director
Education, Experience, and Licensing Requirements:
· Bachelor’s of Science Degree in Human Services Administration or related field preferred. In lieu of degree requirements, consideration will also be given for professional experience in a similar role.
· Valid Massachusetts Driver’s License. Most duties will be performed remotely, but periodic meetups with ED are necessary.
· Ability to use MS Office suite, Facebook, Instagram
· Experience managing multiple projects and effectively prioritizing while maintaining attention to detail and meeting deadlines.
· Experience managing budgets
· Exceptional verbal, written, and visual communication skills are a must.
· Ability to produce presentations, videos, and other media to be utilized at fundraising and other events. Knowledge of audio/visual equipment would be helpful.
